About the Department:

The primary purpose of the Department is to educate undergraduate and graduate students at George Mason University in the fields of history and art history.

About the Position:

The Undergraduate Coordinator serves as a resource, advisor, and coordinator in support of student success in the Department of History and Art History's undergraduate educational programs. The Coordinator delivers direct academic services to current and prospective students and supports and/or plans projects and events aimed at student recruitment, retention, satisfaction, degree completion, and career preparation. The Coordinator manages information and/or procedures used in advising, program promotion, and program assessment.

Responsibilities:

Student Advising and Degree Analysis:

  • Provides expertise and instruction in undergraduate academic policy, curricular requirements, and university services to students and department faculty and staff.
  • Provides direct academic advising to current and prospective students and serves as academic policy point-of-contact for undergraduate directors and faculty advisors. Tasks may include, but are not limited to:
    • Responding to student inquiries and making appropriate referrals;
    • Advising at new student orientations;
    • Evaluating student degree audits, clearing students for graduation;
    • Participating in or managing student retention initiatives;
    • Maintaining the accuracy of major/minor informational materials;
    • Screening class rosters for prerequisite-restricted courses;
    • Reviewing student records for proper course selection;
    • Coordinating undergraduate workshops and receptions;
    • Assisting undergraduate program directors with student awards determination;
    • Assisting undergraduate program directors with assigning equitable advisee caseloads for program advisors;
    • Updating undergraduate program directors on program enrollment trends; and
    • Processing student-related forms.

Program Information Coordination:

  • Manages undergraduate program information for students, prospective students, faculty, alumni, other university academic and administrative constituencies, and the public. Tasks include:
    • Assisting undergraduate program directors with University Catalog review and changes, including submission of new course proposals;
    • Creating and managing web content for undergraduate portions of the department website;
    • Creating and updating printed program-related materials, including for recruitment;
    • Preparing and distributing career information and other opportunity and event announcements to students;
    • Promoting department programs and courses including by use of social media and the dissemination of course descriptions;
    • Creating student and alumni profiles aimed at a prospective student audience;
    • Managing undergraduate listservs;
    • Maintaining undergraduate bulletin boards; and
    • Providing faculty with up-to-date information on support services and resources for students. 

Required Qualifications:

  • Bachelor’s degree in related field, or equivalent combination of education and experience;
  • Experience in academic advising, student affairs, or related field;
  • Experience working independently and in a collaborative setting;
  • Demonstrated experience interpreting guidance and policies to formulate and communicate recommendations/information to stakeholders;
  • Experience managing and safe-guarding confidential and sensitive information;
  • Experience collecting and disseminating information in multiple formats (digital, paper, social media, etc.);
  • Working knowledge of computer software and applications to include MS Office suite and cloud-based communication and collaboration tools such as Teams and Zoom;
  • Proven organizational, analytical, and problem-solving skills, with strong attention to detail;
  • Ability to work with and effectively engage with individuals from a wide diversity of backgrounds;
  • Demonstrated ability to learn new tools, platforms, and data entry interfaces;
  • Demonstrated ability to effectively write, review, and edit content for accuracy;
  • Ability to work with flexibility and accuracy, managing multiple tasks and deadlines;
  • Ability to accurately enter data, prepare and maintain records, files, and reports; and
  • Demonstrated effective oral communication.

Preferred Qualifications:

  • Promotional and marketing experience;
  • Experience using Student Information Systems (e.g., Banner, Salesforce, TargetX, MicroStrategy, etc.);
  • Previous experience in a higher education setting;
  • Knowledge of current undergraduate advising best practices and applicable laws and regulations regarding student records (FERPA, HIPPA, Clery Act, and others); and
  • Ability to handle difficult and stressful situations with compassion and understanding.
