Purpose of Position

The purpose of this position is to assist the Vice Chair of Research and other department leaders in the management of all scholarly activity, faculty development, and conferences for the internal medicine department. This position manages resident research compliance with regulatory standards and maintenance of essential documentation required for the programs.

Duties & Responsibilities

  • Management of department research
    • Schedule meetings, prepare meeting materials, and oversee the recording of meeting minutes for Research and Scholarly Activity Committee meetings
    • Serve as a research resource liaison for residents, medical students, and faculty
    • Serve as the contact person for the department for all things research
    • Manage the annual research symposium (including planning, organizing, timeline creation, and communication)
    • Assist with editing and submission of manuscripts
    • Assist with grant proposal preparations
    • Create and maintain a database of current projects, papers, and faculty mentors looking for med student partnership
    • Match students with faculty that are interested in working on case reports
    • Communicate with faculty regarding current research activities.
    • Ongoing research activity progress monitoring.
    • Maintain database of all department research to be submitted with annual report and scholarly activity reporting
    • Ensure departmental goals are met with the direction of leadership
  • Management of resident research
    • Manage research projects for IM residents in Fargo and Bismarck, hem/onc fellows, and cardiology fellows
    • Schedule and record updates for resident/fellow research update meetings with the Vice Chair/Research Director/Associate Director
    • Create and maintain a database of current projects, papers, and faculty mentors looking for resident/fellow partnership
    • Track resident research and scholarly activity endeavors (publications, abstracts and presentations at local, regional and national meetings)
    • Track resident research points and maintain in files
    • Communicate with residents regarding conference travel to present research
    • Act as delegate to enter expense reports for resident reimbursement
    • Coordinate with Administrative Officer to track resident research funds to ensure they stay within limits
    • Act as liaison between the residents and Medical Media for the printing of posters
    • Collaborate with residency program staff to submit resident and faculty research and scholarly activities annually to the online Accreditation Data System (ADS) of the Accreditation Council for Graduate Medical Education that is the accrediting body for residency programs
    • IRB monitoring and compliance
    • Deadline monitoring
  • IM faculty tenure, promotion, and appointments
    • Process new faculty appointments
    • Maintain up-to-date roster of academic and clinical faculty members and their e-mail accounts using Microsoft Excel.
    • Coordinate meetings for the Committee on Promotions and Tenure (CPT)
    • Coordinate annual faculty performance evaluations
    • Collect and track metrics for the preparation of annual reporting and surveys
    • Records Coordinator for faculty files
  • Conference and CME Coordinator
    • Responsible for all aspects of coordinating conferences and ensuring the Continuing Medical Education application process is completed and maintained
    • Participate in the Grand Rounds Committee for topics and scheduling discussions
    • Communicate with potential presenters and complete Speaker Agreements (if applicable)
    • Coordinate topics and objectives for various conferences and activities including Internal Medicine and Cardiology Grand Rounds, Visiting Professors/Lecturers, Research Colloquium, etc.
    • Manage the in-person conference and Zoom meeting (if applicable)
    • Complete all CME summary documents following conferences such as attendance sheets, evaluations, etc.
    • Maintain Conference database with topic and speaker information to be included in the department annual report
  • Internal Medicine Newsletter
    • Compose and organize quarterly newsletter for the Department of Internal Medicine.
    • Communicate with faculty for article content and obtain permission for use of images
    • Format newsletter using UND brand standards
    • Distribute newsletter to all department faculty and ensure the latest edition is uploaded to the department web site

Required Competencies

  • Advanced skills and understanding of Microsoft Office (Excel and PowerPoint)
  • Prefer advanced skills in database and statistical analysis (SAS programming language, SPSS, R or equivalent)
  • Aptitude to learn additional software programs
  • Familiarity with the internet and search engines (e.g. PubMed and internet survey tools)
  • Ability to collaborate effectively with department leaders and staff to meet shared goals and be dedicated to quality work
  • Strong problem-solving and decision-making skills
  • Must demonstrate strong interpersonal skills, both verbal and written
  • Ability to work in a fast-paced environment, meeting deadlines and achieving project objectives
  • Ability to demonstrate organizational skills, prioritize, multi-task, take initiative, and to work both independently and as a part of a team
  • Ability to travel occasionally to national, regional, or local events/meetings

Minimum Requirements

  • Bachelor's degree, with a preference in business, health profession, biomedical sciences, statistics, or other research related field.  May 2025 graduates will be considered.
  • Three years of directly relevant work experience that encompasses data analysis, applied statistics, statistical programs/applications, research methodology. May include relevant academic achievements, training, internships, or other research project experiences.
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Master’s degree, with a preference in public health, business, statistics, or other educational research related field.
  • Research and/or research support experience.
  • Experience in data collection and entry, survey construction, and data interpretation.
  • Relevant experience in higher education or research-focused workplace.
  • Experience working with complex large data sets and prepare written conclusions based on data findings to include report writing.
