Purpose of Position

The Campus Visit Coordinator fulfills front-desk responsibilities for the Office of University Admissions, including greeting and serving visitors via face-to-face, phone and email. This individual schedules campus visits for prospective students, including the group presentation times, campus tours, academic department appointments, and any other needs/interests visitors identify. When visitors arrive to campus, this position is responsible for greeting and checking them in for their visit, ensuring that their information is correct in the system, and reviewing their visit schedule with them, providing a campus map, dining pass, and any other necessary materials. This individual will also provide leadership to Admissions Ambassadors to effectively deliver excellent customer service.

Duties & Responsibilities

  • Provide excellent customer service and communication on behalf of the University
    • Greet walk-in visitors and provide customer service support to students and the general public.
    • Assist campus tour visitors with the check-in process, ensuring that their information is correct in the system, review their visit schedule with them, and provide campus map, dining pass, and other necessary material.
    • Answer incoming calls professionally and provide customer service on behalf of the University.
    • Respond to email inquiries in a timely and accurate manner.
    • Provide general and referral information regarding admissions and other student support.
    • Schedule campus visits and send confirmation emails.
    • Utilize various technologies, including the CRM and email to enter, retrieve, and relay information to customers.
    • Obtain inquiries from prospective students and the recruitment team.
    • Enter inquiries into the CRM for future communications.
    • Contact prospective customers and students as requested by the recruitment team.
    • Record communications with prospects in the CRM
    • Attend meetings and serve on committees as requested. 
  • Campus Tour Coordination 
    • Arrange campus visits, to include scheduling and sending confirmation notification to the visitors.
    • Arrange group visits in cooperation with the University Admissions and Enrollment Management team and campus partners, develop programming for special events and coordinating presenters, locations, and other logistics
    • Contact and arrange visits to academic departments, following up with departments if they are unresponsive to ensure an appointment is scheduled
    • Contact and arrange visits to other departments per the visitor’s request.
    • Manage the front desk duties, including setting up and taking down the hospitality station daily, preparing the visit materials and ensuring the visit technology is charged, utilized and synced daily 
    • Run reports on weekly visits to accurately print and organize information and assemble folders to present to campus visitors. 
    • Accurately enter visit information into the CRM 
    • Communicate visit schedules to campus visitors as well as on-campus departments that prospective students and their families are visiting
    • Serve as back-up to Campus Experience Coordinator. 
  • Manage Admissions Student Ambassadors 
    • Serve as back-up to Campus Experience Coordinator for Admissions Ambassadors staff schedules to provide continuous support for a wide range of customer inquiries. 
    • Provide quality assurance reviews of unit to ensure equity of duties and efficiency of all processes and accuracy of information shared.
    • In collaboration with the Campus Experience Coordinator, supervise and conduct performance evaluations for all Admissions Ambassadors.
    • Serve as liaison between the Admissions Ambassadors and administrative offices and departments on campus.
    • Provide leadership to Admissions Ambassadors to effectively deliver excellent customer service.
    • Assist Campus Experience Coordinator in scheduling and oversight of Admissions Ambassadors to ensure professional demeanor, friendly customer service, and accurate information is provided. Train and supervise the front desk student staff to ensure they are providing a friendly welcome to building visitors, accurately checking in visitors and providing visit information.
    • Monitor and manage Admissions Ambassadors during scheduled visits to ensure compliance with visit protocols. Responsibilities include verifying the proper use of tour equipment (e.g., vans, speakers), confirming that guides are familiar with visitor itineraries, and ensuring all designated stops on the tour route are covered. Additionally, ensure that visitors are escorted to their academic appointments (if applicable) as scheduled.
    • Upon return from tours, ensure that Admissions Ambassadors complete thank-you postcards and return all visit-related items, including speakers, keys, and any other borrowed materials. 

Required Competencies

  • Excellent written and verbal communication skills

  • Demonstrated experience with Microsoft Office Suite software, email and Internet
  • Ability to prioritize and multi-task
  • Strong organizational skills and demonstrated ability to manage multiple tasks simultaneously

  • Prove accuracy in data entry with solid typing and spelling skills

Minimum Requirements

  • Associate’s degree or equivalent experience
  • 2 years customer service experience
  • 2 years of office-related experience
  • Valid Driver's License
  • Successful completion of a Criminal History Background Check
