Salary/Position Classification

  • $45,000 annual, Non-Exempt (Eligible for overtime)
  • 40 hours per week
  • This position will work onsite.

Purpose of Position

The Administrative Assistant (AA) provides administrative support to the Division of Research & Economic Development. The AA provides customer service to the Division, the public, the University, and tenants of the building. The AA handles building operations (which may be on an emergency basis) and day-to-day customer interactions.

Duties & Responsibilities

  • Administrative support to the Division of Research and Economic Development
    • Provide administrative support and maintain office activities.
    • Manage, organize, and prioritize a multitude of duties and tasks daily and identify any needed resources.
    • Utilize independent problem-solving skills on an ongoing basis.
    • Proofread and edit communication/reports/documents/marketing materials for the Division as needed
    • Disseminate information as needed in a timely and appropriate manner.
    • Provide calendar support and scheduling for the Division as needed
    • Answer and screen incoming calls, greet visitors and provide direction appropriately
    • Prepare memos, emails, minutes, letters, reports, articles, or other materials of an important or confidential nature from general instructions or personal knowledge and research.
    • Ensure a clean, organized, and professional office environment at all times.
    • Handle sensitive information with discretion and uphold strict confidentiality standards.
  • Records and Fiscal Management:
    • Organize and maintain office records and records retention
    • Responsible for key inventory, office supplies, and major and minor inventory
    • Maintain memberships and subscriptions
    • Maintain and routinely update mailing lists, departmental directories, training manuals, and procedural documentation.
    • Assist with deposits as needed 
  • Special Projects and Other Duties
    • Assist in planning and/or arranging special events and projects as assigned
    • Assist with travel arrangements and reimbursements
    • Serve as Telephone Coordinator
    • Serve as Software Coordinator
    • Coordinate office coverage 
  • Support Tech Accelerator Building Operations and Management
    • Provide customer service and promote relationships with tenants, individuals, and/or entities, by scheduling room reservations, IT capabilities, room set-ups, building access, and mail distribution.
    • Coordinate building needs through the Director of Finance & Operations and/or UND Facilities; some of these needs may be on an emergency basis.
    • Develop, maintain, and post an electronic master conference and training room schedule
    • Create electronic device access (EDA) , issue fobs, and maintain EDA records for inventory purposes.
    • Maintain the tenant and occupant group list/email

Minimum Requirements

  • High school diploma or GED
  • 4 years of directly related office experience
  • Experience using MS Word, Excel, and Outlook
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Associate’s Degree
  • Six years of experience or a combination of directly related work experience and education
  • Experience with UND policies and procedures, such as travel, accounting, and payroll
  • Experience with PeopleSoft HRMS, Perceptive Content, and other web-based applications
