Purpose of Position

This position is responsible for the conversion of submitted applications to completed. The Admissions Specialist is tasked with creating new student files, entering application data, imaging files and corresponding with applicants. In addition, the Admissions Specialist completes a review of admission requirements and credentials for academic preparedness, obtaining transcripts, test scores and other required materials as appropriate.

Extreme attention to detail and accuracy is essential for this position. This individual must be a problem solver and assist with the day-to-day workflows that support the Admissions mission and the overall mission of the University.

Duties & Responsibilities

  • Process admission applications
    • Download and process applications in relevant databases to ensure accuracy of student admission files.
    • Enter and review application materials in multiple databases and match critical elements to process applicant files.
    • Create new electronic files for students.
    • Assist with electronic assignment and updating of student checklists.
    • Evaluate student files to verify completeness and academic preparedness.
    • Correct insufficient or duplicate data files.
    • Track files to see if all required documents are received and communicate with students regarding missing or incomplete documents.
    • Process registration information and communicate with student outstanding checklist items required.
    • Determine residency for tuition purposes.
    • Other application processing tasks as relevant.
    • Serve as back-up to other Admission Specialists. 
  • Admission of new students
    • Calculate and review GPA and test scores.
    • Send completed applications to appropriate departments for review.
    • Communicate with department chairs and directors regarding the status of applications.
    • Publish official decision letters reflective of recommendation of the faculty.
    • Process correspondence/non-term-based applications and route to the Registrar’s Office for course registration.
    • Process collaborative student applications for the Registrar’s Office.
    • Run reports, analyze data, and schedule communications for application materials. 
  • Provide superior customer service and communication
    • Communicate through email, phone and in-person with applicants to answer questions regarding their application and the application process.
    • Communicate with faculty and staff regarding the status of applications and application materials.
    • Answer incoming calls professionally and provide customer service to students, faculty, staff and the general public on behalf of the University. 
  • Work as a team member to promote the success of the University Admissions Office and the University as a whole
    • Attend professional development opportunities as appropriate.
    • Serve on UND committees as appropriate.
    • Support the workplace culture of the unit by demonstrating the professional conduct and values expected of all employees.
    • Represent UND in a professional manner at all times by providing excellent communicate and customer service.
    • Assist in processing department mail.
    • Perform additional duties as assigned.

Minimum Requirements

  • High school diploma or GED.
  • One year of related work experience.
  • Data entry experience.
  • Demonstrated experience with Microsoft Office Suite software.
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Associate degree
  • Experience with PeopleSoft
  • Experience with Salesforce or another Customer Relationship Management software
  • Experience with imaging systems such as Perceptive Content
  • Experience directly related to college admissions
