General Information:

The University Business Office (UBO) at James Madison University is accepting applications for a Disbursements Coordinator. The University Business Office is responsible for processing all charges and payments on student accounts. The office works closely with students and families; UBO coordinates billing, payment plans, and collections efforts for the university.

The Disbursements Coordinator will work closely with various members of JMU's Financial Aid Office to post financial aid funds to student accounts, process student refunds, coordinate returns for financial aid funds, and manage invoice/billing requests from third parties. The Disbursements Coordinator will also help support the Veterans Affairs Coordinator in the University Business Office.

 

Duties and Responsibilities:

  • Coordinate the application of financial aid by working closely with the Office of Financial Aid and Scholarships. Ensure aid is posted to student accounts and documentation is created to move funds between departments on campus.
  • Verify the accuracy of disbursements, ensuring compliance with Federal, State, and university policies.
  • Coordinate refunds and returns for scholarships, grants, and loans; this includes working with third party organizations as well as departments within the university.
  • Prepare statements/invoices for outside scholarships and third party payers. Manage student accounts to ensure payment is received promptly and in the correct amount.
  • Support the Veterans Affairs Coordinator by administering and processing military aid.
  • Additionally, all UBO staff provide customer service over the phone and in-person by answering student account questions.

 

Qualifications:

Required:

  • A proven ability to analyze a diverse set of financial accounts while adhering to federal, state, and local laws and regulations.
  • Excellent written and verbal communication skills, including the ability to work with a variety of university personnel.
  • Skill using Microsoft365, notably Excel, Outlook, and Word.
  • A strong knowledge of best accounting practices.
  • Detail oriented.
  • Experience working in a team based environment.
