General Information:
Oversee operations at the front desk including recruiting, training and supervising front desk student assistants. Coordinate front desk coverage during the UCC's open hours, filling in as necessary. Manage departmental budgets and assist with financial planning. Coordinate the purchasing, distribution and maintenance of all computing hardware, software and coordinating systems for the department. Provide office management (payroll, travel, maintenance of all supplies, and purchasing) services. Support human resources functions of the unit through submission of ePars and timesheets and contributing to the hiring and onboarding processes for new student staff, graduate assistants, and part and full-time employees. Submit departmental work orders (room reservations, card swipe access, office/building maintenance, JMU vehicles).
Duties and Responsibilities:
FISCAL OPERATIONS Oversee fiscal operations including monitoring, reconciling, data input, maintenance and reports for university accounts and grants.
OFFICE MANAGEMENT & PURCHASING: Oversee departmental administrative and clerical support including purchasing, travel, office machinery, computer purchases, computer operations, and clerical assistance.
FRONT DESK OPERATIONS & DEPARTMENTAL SUPPORT: Oversee front desk support and coverage. Hire, supervise, train, and evaluate a team of student operation student assistants. Ensuring that the physical space of the UCC and the Career Closet are well-maintained.
EVENT SUPPORT: Supports tracking and accounting of financial transactions related to university career fairs. Orders supplies, promotional materials, and meal vouchers as necessary.
Qualifications:
Required:
- Experience with budgeting and account reconciliation
- Experience with purchasing processes such as office supplies and technology contracts
- Experience supporting a multiple person office
- Experience as front line support for external constituencies
Additional Considerations:
- Experience in office management (such as submitting timesheets, work orders and arranging travel)
- Knowledge of higher education
- Experience with Microsoft Office Suite, including Excel and Teams
- Experience supervising student staff
- Knowledge of eVA and Commonwealth purchasing standards
- Knowledge of JMU systems and processes
