General Information:

The Office of Faculty Success is seeking a motivated and enthusiastic individual to lead administrative and organizational excellence as the Office Manager. This position provides administrative/fiscal support to the AVP of Faculty Success, supports educational development efforts by providing office management and high-level customer service, and leads external communications

 

Duties and Responsibilities:

Applies knowledge of administrative, fiscal, and budgetary principles to the management of the Faculty Success budget

• Works with AVP to assure the budget reflects mission, vision, and core priorities
• Maintains the Faculty Success budget in ways that are fiscally responsible and reflect University stewardship expectations (i.e., applies regulations to all purchases and travel-related expenditures)
• Coordinates with campus fiscal technicians to ensure timely payment for services rendered
• Provides fiscal support, monitors financial accounts, and retains a small purchase card (SPCC) for the office

Oversees data management

• Develops and documents innovative approaches to managing data within the office of Faculty Success
• Provides support in reviewing protocols, annual report, strategic plan, the Faculty Success websites, and program documentation for proofreading and providing input
• Co-leads the generation of data/reports needed for the STAR and HR annual reports

Leads office management and coordination

• Purchases supplies / submits orders through the state ordering system (eVA)
• Serves as Fixed Asset Coordinator (FAC)
• Coordinates with the Center for Faculty Innovation (CFI) leadership to process travel pre-authorizations, expenditures, and reimbursements, etc. through Chrome River, etc.
• Enters time entry for wage and student staff in the HR Time Entry system

Provides primary support to the AVP

• Works with AVP to design and publish outward-facing documents
• Maintains the AVP’s calendar
• Provides targeted assistance to the AVP as needed for program support

Supports the management of programs that enhance faculty teaching, scholarship, and career planning

• Liaises effectively and in a timely manner with offices across campus to schedule or reserve rooms/spaces (through EMS)
• Coordinates with CFI Leadership on all catering needs for programming.
• Coordinates meal voucher requests
• Provides assistance as needed for program support (nametags, signage, other program materials/ordering, etc.) and day of programming

 

Qualifications:

Required Qualifications:
- Ability to operate effectively, efficiently, and professionally in a fast paced, high volume office
- Ability to work independently as well as be a good team member
- Ability to appropriately handle confidential information
- Fluency in the PC and Mac computer operating environment and Microsoft Office with a particular focus on Word, Access, and Excel
- Fluency in social media publicity and website management using a CMS (like Cascade or a comparable system)
- A general understanding of basic accounting procedures for budget maintenance
- Moderate to advanced typing/data entry skills
- Polished telephone communication skills
- Interpersonal and leadership skills
