General Information:

Conference Services at James Madison University is accepting applications for three (3) Temporary Summer Conference Assistant for Administration positions. These positions work closely with Conference Services Staff and Campus Partners to finalize arrangements of facilities and services to best suit the specific program’s needs.

These positions will work primarily day shifts Sunday – Saturday from May 18, 2026, until August 4, 2026, 4 to 5 days per 7-day week. No on-call shifts (no overnight stay), but some evening shifts will be required.

May 18th – May 22nd, the shift will be 9:00 a.m. – 4:00 p.m.
Starting May 25th, the shifts will be approximately 7:00 a.m. – 4:00 p.m., 8:00 a.m. - 5:00 p.m. or 9:00 a.m. – 6:00 p.m. These schedules may be adjusted to accommodate group needs. 32-40 hours per week.

 

Duties and Responsibilities:

  • Manage the ongoing needs of your specific administrative category (Residence Hall Management/Housekeeping/Linens, Billing/Dining/Card Services, Office Administration/EMS/Transportation/Team Support).

Residence Hall Management/Housekeeping/Linens:

  • Assists the Conference Assistants with the preparation of room assignments.
  • Tracks room and floor assignments for "Shared-Use" of Residence Halls by multiple camps.
  • Arranges pre, during camp and post camp linen services.
  • Tracks room assignments for clean and used linen rooms around campus.
  • Creates accurate master & copies of Residence Hall diagrams.
  • Handles Keys and Key boxes. Tracks and replaces lost keys.
  • Organizes hall inspections around camps and housekeeping dates.

Billing/Dining/Card Services:

  • Accurately updates the dining details and numbers in IRIS Conference Software.
  • Submits dining requests to Dining Services and catering partners.
  • Participates in bi-weekly Dining meetings and sends weekly Dining updates email.
  • Obtains and maintains records of all dining and card information.
  • Submits card requests.
  • Creates and maintains "Meal Ticket" requests.
  • Reviews and verifies all billing summaries from Planners and enters final billing details.
  • Maintains accurate billing information in billing binders.

Office Administration/EMS/Transportation/Team Support:

  • Manages Conference Services phone calls and transfers and messages as needed.
  • Forwards phone lines to on-call phone for night operations staff.
  • Responds to the general Conference Services email.
  • Documents and tracks all Conference Cervices equipment loaned to groups.
  • Responsible for keeping record of petty cash transactions for lost cards and keys.
  • Orders office supplies as needed. Stocks all Conference Services materials.
  • Responsible for keeping the office tidy and providing needed announcements and notes on the whiteboards.
  • Keeps notes of all team meetings.
  • Works with Conference Assistants to confirm meeting spaces and room setups in EMS.
  • Works with Conference Assistants to verify transportation requests.
  • Assists the team with group check ins, linen placement, and sign distribution.
  • Maintains a daily log of calls.

Qualifications:

Required:

  • Organization, multi-tasking, and problem-solving skills
  • Verbal and written communication and interpersonal skills
  • Customer service experience
  • Attention to detail
  • Experience working in a team, and/or leading a team
  • Experience with Microsoft Office programs, databases, or administration computer software.
  • A valid driver's license is required for this position.

Conditions of Employment:  

Employment is contingent upon the successful completion of a criminal background check.

This is a part-time wage position working up to an average of 29 hours per week over the course of a calendar year with no benefits.
