General Information:

James Madison University, a Division I member of the NCAA and SunBelt Conference, is seeking an Insurance and Office Coordinator for the Department of Sports Medicine. This position is full-time and includes an excellent benefits package. Anticipated start date is May 1, 2026.

The Insurance/Office Coordinator will work under the supervision of the Associate AD for Integrated Health and Sports Performance and will work closely with the JMU Team Physicians & Physician Assistant and Staff Athletic Trainers. This selected candidate will support the vision of JMU, Intercollegiate Athletics, and the Sports Medicine Office by coordinating the administrative and health insurance records for student athletes and providing administrative and general support to the office. The candidate will be expected to maintain a high level of communication, outstanding interpersonal skills, and professionalism as a member of the JMU Sports Medicine Staff.

 

Duties and Responsibilities:

Duties and Responsibilities including but not limited to:

  • Following appropriate JMU and NCAA policies and guidelines
  • Maintaining HIPAA compliance for the privacy and confidentiality of all confidential/sensitive information.
  • Coordinating all aspects of student athlete health insurance including:
    • Providing customer service to student athletes, parents, guardians, medical providers, and insurance companies on the insurance process and records.
    • Filing medical insurance claims
    • Managing the electronic billing process
    • Obtaining, preparing, reviewing, and providing related paperwork for processing.
    • Ensuring all medical documentation is completed correctly, filed appropriately and is easily accessible for audit purposes.
    • Assist in proper filing of medical claims
  • Assist the ABO & Assoc AD of Integrated Health & Sport Performance with Sports Medicine budget reconciliation and reporting.
  • Assist the Assoc AD of Integrated Health & Sport Performance, team physician, and sports medicine staff with general administrative support and customer service including:
  • Answering phone calls, paperwork, filing health records, correspondence, and similar tasks as directed.
  • Provide oversight for Sports Medicine office inventory and purchase necessary supplies and equipment, including:
    • Process all pre-approval forms, eVA, and other documents in a timely manner to ensure the desired goods and services are provided as requested.
    • Complete credit card reconciliation accurately and in a timely manner
    • Maintain and update files and databases constantly to ensure information required for NCAA compliance is current and easily accessible.
  • Provide timely and accurate processing and scheduling of Sports Medicine staff travel, including reimbursements, travel authorizations, travel arrangements, accounting vouchers, correspondence and other documents as they occur in accordance with VA state guidelines.
  • Assist Assoc AD of Integrated Health & Sport Performance with performance meeting scheduling for athletic programs.

Qualifications:

Required:

  • Experience communicating daily with secondary insurance providers to help approve medical claims for athletic-related injuries
  • Experience working with student athlete’s primary insurance companies to get pre-authorization for medical tests and procedures.
  • Ability to effectively communicate (oral and written) with multiple parties within the athletics department, campus, and surrounding community, as well as with insurance companies.

Preferred:

  • Background in medical office management and/or administrative assistance
  • Proficiency in Excel/Microsoft Office
  • Strong interpersonal and communication skills
