General Information:

JMU’s Division of Research, Economic Development & Innovation (REDI) supports faculty-scholars, students and staff engaged in a rich diversity of creative and intellectual endeavors across and between disciplines. REDI serves and supports faculty and student research and scholarship, serves as an agent and advocate for faculty and student interests, and locates and secures resources, partnerships and collaborations that will move JMU’s vision and mission forward. We are seeking a talented professional to join our growing team to support divisional operations. Reporting to the Director of Business Operations, this position will coordinate fiscal, personnel, and administrative matters and serve as a resource for the Director and the REDI leadership team.

 

Duties and Responsibilities:

Budgetary and Financial Support:

• Reconcile central REDI budgets against expenditure records and prepare monthly reports for review by the Director of Business Operations and the senior REDI leadership team
• Ensure all supporting documentation is organized and compliant with university, state, federal, and sponsor guidelines, as applicable
• Prepare and submit documentation for financial transactions, including ATV’s, budget revisions, invoices, Chrome River pre-approvals and reimbursements, deposit transmittals, etc.
• Place orders for goods and services using the Small Purchase Credit Card and eVA and reconcile SPCC charges monthly
• Perform system actions for new budget setup, including signature authority, PeopleSoft system access, and ePAR approval routing
• Collect and summarize financial and personnel data to support budgetary and personnel decision-making for the division

Personnel Support:

• Provide administrative support for divisional recruitments by scheduling interviews, preparing materials for search committee review, and maintaining accurate departmental records
• Complete ePARs and other required documentation for personnel actions
• Collect and submit timesheets for student and wage employees

Administrative and Operational Support:

• Serve as the REDI Fixed Asset Coordinator by supporting the annual physical inventory, maintaining accurate equipment records, and coordinating the transfer of equipment and furniture with other university offices
• Provide administrative support to the Director of Business Operations, including calendar management, correspondence, and document preparation
• Coordinate logistics for meetings and events, including room reservations, catering, and setup
• Serve as a member of the REDI Business Operations team and participate in meetings, working groups, and committees

 

Qualifications:

Required:
• Strong organizational skills with excellent attention to detail and accuracy
• Exceptional written and verbal communication skills
• Demonstrated ability to excel in a complex and fast-paced environment
• Ability to manage confidential and sensitive information with discretion
• Excellent time management skills
• Understanding of best practices in office administration contributing to a well-organized and effective office
• Fluency working with the MS Office software suite using Word, Excel, Outlook, and Teams
• Knowledge of financial principles, fiscal management, and personnel processes

Additional Considerations:
• Familiarity with various software platforms (or similar): PeopleSoft Finance and Human Resources, eVA, Zoom, JobLink, Chrome River, Bank of America WORKS (Small Purchase Charge Card)
• Familiarity with university, state, and federal procurement, travel, fiscal, and human resources policies and procedures (or similar)
• Willingness to learn and utilize AI tools such as Microsoft Copilot
