Position Summary
The University of Southern Indiana is accepting applications for Senior Administrative Assistant - Part Time.
Provide administrative support for the Honors Program and Theme Living Communities.
Duties/Responsibilities
Work closely with the Director of the Honors Program (HP) and Theme Living Communities (TLCs) to support student recruitment, retention, and success.
Receive walk-ins, emails, and telephone calls for the two Programs. Assist current students, prospective students, and others with inquiries to the office, including during New and Transfer Student Orientations and other events.
Maintain student files and student records, including monitoring student grade reports, membership records, probation and dismissal records, reporting Honors grades to the Registrar’s Office, and tracking Honors activity points
Prepare correspondence for prospective students and current students and other communication. Process applications for the HP and TLCs.
Assist with maintenance of HP and TLC websites.
Coordinate student worker assignments and review in terms of completeness, timeliness, and accuracy.
Assist with student registration and other student needs, including coordination of priority registration for Honors students with the Registrar’s Office.
Assist with all aspects of event planning for HP and TLC activities, including the Honors Cords ceremony, luncheons, retreats, banquets, etc. and the TLC Welcome Week events.
Assist the Honors Student Council/Assembly with coordination of their events. Work with the Honors Faculty Council and the Theme Living Communities Council to arrange their meetings and support their tasks.
Collaborate with Housing and Residence Life on placing students in TLCs and Honors apartments.
Maintain inventory of supplies for Program. Receive and distribute incoming mail.
Other duties as assigned.
Required Knowledge and Skills
High school diploma/GED.
Two years of clerical experience or an equivalent combination of education and/or experience.
Experience with microcomputer, word processing, spreadsheet, database, and electronic mail software.
Knowledge of internet information gathering and ability to learn web creation and maintenance.
Excellent oral and written communication skills.
Excellent organizational and time management skills with keen attention to detail.
Regular Work Hours/Travel Requirements
Standard office hours are Monday through Friday, 8:00 a.m. to 4:30 p.m. As a part time position, it is expected this position work 20 hours a week, Monday through Friday. Hours should be consistently and consecutively scheduled but may vary based on office needs.
Occasional overtime may be required.
