Department Summary

The Office of the Provost and Vice President for Academic Affairs is responsible for the main mission of the institution including teaching, research, and service. The provost office provides leadership in the development and supervision of the university's academic programs in conjunction with the deans and faculty representatives.

Position Overview

The Administrative Coordinator plays a vital role in supporting the Office of the Provost, ensuring smooth operations and clear communication across various academic departments. As a forward-facing position, the coordinator greets guests and assists visitors to the Provost’s office, providing a welcoming and professional presence. This role involves managing a wide range of administrative tasks, including scheduling, purchasing, organizing meetings and events, arranging travel, and overseeing office supply and inventory.

The coordinator will also maintain accurate records, handle correspondence, and assist in implementing academic initiatives. Success in this role requires strong organizational skills, attention to detail, and the ability to collaborate with diverse stakeholders. Additionally, the Administrative Coordinator will contribute to a positive work environment and support the institution’s strategic goals.

Minimum Qualifications

Bachelor's Degree and three years' of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.

  • Exceptional customer service skills.
  • Advanced written communication skills and Microsoft Office skills.
  • Knowledge of budgeting procedures.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.

Job Duties:

  • Serves as the front-line communicator at the front desk, greeting guests and assisting visitors to the Office of the Provost with professionalism and courtesy.
  • Coordinates office operations by answering telephone and email inquiries, routing communications, making referrals, prioritizing requests, and managing email distribution lists.
  • Coordinates logistics (catering, room reservations, calendaring, materials, agenda) for conferences, meetings, and events for the Office of the Provost and VPAA.
  • Manages supply and equipment inventories, handles purchases, assists in monitoring budgets and expenditures, and oversees inventory, records retention, and space management reporting.
  • Prepares purchase orders, travel requests, reimbursements, and assists in conducting research and compiling reports to support decision-making.
  • Provides support to other Academic Affairs offices and assists with special projects, including coordinating committee or council meetings and editing the Academic Affairs website.
  • Drafts, edits, and reviews correspondence on behalf of the Office of the Provost.
  • Performs other duties as assigned.
