Position Overview

Under the supervision of the Executive Director of Corporate and Foundation Relations (CFR) and Executive Director, Planned Giving, the Coordinator will interact with key external and internal constituencies to ensure optimal engagement experiences are executed for planned giving donors and corporate and foundation relations constituents.

This includes responding to emails, planning events and meetings, managing data, coordinating annual appeals, assisting in closing planned gifts, coordination of grant applications, engagement of members of the 1890 Society and volunteer activities as related to the President’s Corporate Board.

This position is responsible for providing executive, administrative, and analytical support for the CFR and Planned Giving teams and interacting with offices including the President’s, Vice President’s, and external constituencies while maintaining sensitivity to confidentiality and protocol. Coordinates activities and acts as university-wide liaison.

Minimum Qualifications

Bachelor's Degree and five years' of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities

  • Exceptional communication and interpersonal skills.
  • Advanced proficiency in Microsoft Office Suite.
  • Knowledge of accounting and budgeting procedures.
  • Ability to work under pressure, handle multiple tasks, and coordinate team efforts effectively.
  • Skill in developing and maintaining internal and external relationships.

Job Duties:

Coordinator for Planned Giving and Corporate and Foundations Relations Programs:

  • Maintain and continually update all Planned Giving files in Perceptive Content and Foundation Calendar along with applications process and steps and constituent records in Blackbaud CRM.
  • Help maintain Contact reports in Blackbaud CRM.
  • Manage calendars and make appointments with industry professionals and donors.
  • Provide general administrative support to the Corporate and Foundation Relations and Gift Planning Offices.
  • Prepare, track, and create documents associated with meetings, grant proposal tracking, gift management, and documents to be processed.
  • Assist the team in opening and closing deferred gifts and ensuring gifts are properly logged in the database according to IRS regulations.
  • Assist with the estate administration as needed and defined by Executive Director to realize planned gift maturities.
  • Assist the team in obtaining legal documents (will provisions, trust agreements, deeds, tax forms, etc.) and related materials (projections of trust payout, income tax deductions, present value analysis, etc.).
  • Coordinates research on individual donors and the history and status of gift commitments as needed by gift officers and other University officials. Ensures the accuracy of gift acknowledgments and all information communicated to donors and prospects.
  • Prepares progress and revenue summarizing giving, status, affiliation, and other data points, as needed.
  • Procurement and general administrative responsibilities for the Corporate and Foundations Relations and Planned Giving Offices.

Outreach and Stewardship:

  • Manage direct marketing appeals, correspondence, and key mailing lists.
  • Manage stewardship processes, including donor meetings, execution of donor stewardship, and cultivation events for both teams.
  • Works with ED to plan and execute President’s Corporate Board meetings.
  • Coordinate outreach, stewardship, and events of UNT’s 1890 Society.
  • Develop list of top largest planned estate gifts and develop stewardship initiative for each.
  • Help manage leads that are generated through Planned Giving Marketing initiatives.
  • Assist with development of impact reports for corporate and foundation donors, including communications and coordination across campus units to assemble pertinent information.
  • Steward donors by calling before certain dates and holidays, and curating schedules if needed.
  • Assist with CFR event coordination, especially in managing invitation/RSVP lists and coordinating with other campus units on event logistics.

Additional Core Duties Specific:

  • Ensure financial reports are obtained and tracked for annual valuation.
  • Ensure the Estate and Planned Giving website is up to date.
  • Ensure the department procedure manual and procedures are up to date for both programs.
  • Coordinate the CFR team’s workflow through project management system.
  • Prepares templates and proposals for the Corporate & Foundation Relations team.

Work Schedule:

Monday - Friday, 8:00am - 5:00pm; occasional evenings & weekends as needed
