Department Summary

The University of North Texas Health Science Center at Fort Worth is excited to announce the formation of its College of Nursing. The new college will help address the shortage of nurses in Texas, which has the second-fewest nurses per capita in the U.S.

The new College of Nursing will join five other colleges and schools offering degree programs at HSC: the Texas College of Osteopathic Medicine, School of Biomedical Sciences, School of Public Health, School of Health Professions and College of Pharmacy.

Position Overview

Provide executive administrative support to the Dean assisting with administration and operations. This position will report directly to the Dean. This position serves as a senior administrative contact for the Dean. The incumbent will be responsible for a variety of duties required to maintain operational and office functions.

Minimum Qualifications

Bachelor's degree and three (3) years of related experience; or any equivalent combination of education and experience.

Knowledge, Skills and Abilities

Advanced MS Office skills. Knowledge of accounting and budget. Demonstrated ability to effectively communicate verbally and in writing at an exemplary level Ability to work under pressure, to provide attention to detail, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function.

Preferred Qualifications

Familiarity with the dynamics of higher education. Ability to independently establish priorities in a fast-paced environment. Strong analytical and problem-solving skills. Excellent written and verbal communication skills. An understanding of and the ability to apply customer service principles in an academic setting. Exceptional organizational and time management skills with an eye for detail. Project management skills. Managerial experience in a college or university setting. Extensive experience with word processing, spreadsheet, calendar, email and database management programs. Master’s degree preferred.

Job Duties:

  • Manage and direct office services, such as records, personnel issues, and housekeeping, to aid executives. Greet visitors and determine whether they should be given access to specific individuals. Facilitate special requests for executives. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Coordinate with business director on purchasing needs. Prepare documents, presentations, and manage records retention. Prepare agenda and minutes for executive meetings. Process travel arrangements, documentation and reimbursement. Facilitate faculty appointments. Coordinate events and activities for the Dean's Office. 
  • Exercise independent judgment in bringing information and issues relating to the College of Nursing to the attention of the Dean and other divisional leaders. Will research issues and formulate solutions to problem solve on behalf of the Dean and other executives. 
  • Participate in project management for the College of Nursing for items related to accreditation for multiple outside accrediting agencies, university procedures affecting all students, and items affecting the entire College.  
  • Coordinate workflow, communications, processes and procedures for all work done in direct support of the Dean. 
  • Manage and provide guidance for College of Nursing operations and committees, including mentoring, facilitating the professional development of staff and the stewarding of budgets. 
  • Assist the Dean in data collection and report preparation for strategic planning, operational assessments and business plans. These items will be of a both internal and external nature. Examples are items that are sent to accrediting agencies, UNTHSC Provost or President, external and internal auditors, the Texas Higher Education Coordinating Board, other Deans and divisional team members. 
  • Develop and implement office procedures to enhance efficiency. 
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation with preparation of detailed itineraries. 
  • May supervise and provide guidance to junior administrative staff.
  • Coordinate logistics for events, conferences, workshops, including venue selection, catering, and audio-visual needs. 
  • Handle confidential and sensitive information with discretion and professionalism. 

Work Schedule:

Monday – Friday, 8am-5pm, with occasional evenings or weekends as required for College of Nursing events.
