Department Summary

The College of Biomedical and Translational Sciences at UNTHSC has three multidisciplinary departments that include Physiology & Anatomy, Pharmacology & Neuroscience and Microbiology, Immunology & Genetics. CBTS takes great pride in shaping the future of the biomedical workforce with three focus areas: education, student service and research. Our students are educators, researchers, and health care professionals of tomorrow. The research areas of CBTS are diverse and include cardiovascular, neuroscience, health disparities, vision science, genetics, immunology, molecular biology, nanotechnology, pharmacology, and numerous other areas.

Position Overview

Provide high-level administrative support to the Dean of the College of Biomedical and Translational Sciences by conducting research, preparing financial reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise hourly employees and/or lower-level clerical staff.

Minimum Qualifications

Bachelor's degree and three (3) years of related experience; or any equivalent combination of education and experience.

Knowledge, Skills and Abilities

  • Advanced MS Office skills.
  • Knowledge of accounting/budgeting procedures.
  • Demonstrated ability to effectively communicate verbally and in writing at an exemplary level.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.

Preferred Qualifications

Bachelor’s degree and three years of related experience is required; three years of administrative experience in higher education is preferred.

Job Duties:

  • Maintains Dean’s calendar,
  • Drafts communications for the Dean
  • Initiates ePAR's for Dean’s Office
  • Manages all student, staff and faculty email distribution lists.
  • Manages faculty rosters, creates agendas and minutes for CBTS Executive Council (ExC) and the Dean’s Leadership team meetings,
  • Coordinates work with Department office managers.
  • Serves as final repository for all new faculty/staff new hire and resignation approvals.
  • Compiles reports, maintains records, facilitates project management, and coordinates special events.
  • Creates, administers, and analyses online surveys for Deans’ Office.
  • Serves as point of contact, providing support to the departments/units reporting to the Dean.
  • Supports the dean in their role of planning, directing, and evaluating departmental operations.
  • Coordinates the work flow of the Dean’s office staff, making recommendations for improvements in administrative procedures.
  • Supports Provost’s Office when needed.
  • May serve on college, HSC or state committees.
  • Other duties as assigned.
