About the Manager of Enrollment Services

JOB SUMMARY

Under general direction of the Director of Admissions and Registration, the Manager of Enrollment Services oversees the day-to-day operations and duties assigned to Spokane Community College (SCC) Admissions and Registration Office staff that provide enrollment services to students in Professional Technical and Extended Learning programs.

The manager coordinates activities with other student services departments and the instructional divisions implementing procedures and processes as needed to enhance services.

This position exercises independent judgment in interpreting rules and regulations when supervising office staff, and advises students, staff, and faculty regarding programs of study, courses offered, pre-requisites, and activities.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

  • Oversee the day-to-day operation of the Professional Technical and Extended Learning Enrollment Services team which includes, but is not limited to: Online Admissions Application Portal (OAAP) processing, advising prospective students on college admission requirements, maintaining accurate student residency statuses, advising applicants on program requirements, coordinating onboarding and enrollment activities, adding/dropping students from classes and programs, records maintenance, and otherwise ensuring smooth operations of the admissions and registration processes and that programs and services are coordinated with all departments at SCC and within Spokane Colleges as appropriate. *
  • Oversee admissions and registration for Rural Education students at the four Rural Centers and the Airway Heights Corrections Center (AHCC) sites, including supervising SCC Admissions and Registration staff located at the Colville Center and AHCC. *
  • Responsible for planning, implementing, and evaluating Admissions policies/procedures as well as programs and services ensuring student success and compliance with applicable federal, state and local laws, rules and regulations as well as policies and procedures established by the District and SCC. *
  • Act as a SME (Power User role) for the Customer Relationship Management software (TargetX/Salesforce), including report writing, campaign management, and event management.
  • Supervise (train, schedule, evaluate, discipline, and respond to grievances) classified and hourly employees. Adhere to classified contracts and all district rules and regulations ensuring efficient office operations. *
  • Inform and educate staff about behavior and performance expectations, provide timely and accurate feedback regarding performance, and ensure performance and behavioral problems are corrected promptly and effectively. *
  • Answer questions, perform research and solve problems for staff, students and the public and inform individuals of other student services available to them. *
  • Research and process the dropping of students for non-payment of tuition and sending outstanding balance reminders. *
  • Assist Director of Admissions and Registration in researching student appeals. *
  • Manage program availability/information at-a-glance for SCC staff and faculty. *
  • Responsible for maintaining instructor-initiated program and class drop process and procedures. *
  • Develop, implement, review, evaluate, and change department procedures as needed and design and maintain registration forms, ensuring consistency within SCC and Spokane Colleges. *
  • Participate in meetings and committees at SCC/Spokane Colleges as requested. *
  • Model professional decorum and mutual respect in all personal interactions. *
  • Comply with district policies, procedures and directives, state and federal regulations, orders and statutes and collective bargaining agreements. *
  • Support and advance the Spokane Colleges strategic plan, and perform other duties as assigned. *

MINIMUM QUALIFICATIONS

  • Bachelor’s degree from an accredited institution. Or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.
  • Progressive work experience in Admissions, Registration, or related department.
  • Experience supervising or leading employees.
  • Knowledge of the internal operations and structure of a student management system (i.e., PeopleSoft, Ellucian, Jenzabar, Workday, etc.)
  • Experience using Microsoft Office products.
  • Excellent customer service skills.
  • Ability to interpret rules, policies and procedures.
  • Excellent interpersonal, verbal and written communication skills and the proven ability to work successfully with multidisciplinary teams and diverse populations.
  • Ability to effectively organize multiple work assignments, involving competing priorities, to produce work products that are accurate, of high quality and meet deadlines.

DESIRED QUALIFICATIONS

  • Two or more years of supervisory experience, preferably within Student Services.
  • Knowledge of SCC/Spokane Colleges educational offerings.
  • Knowledge or experience with PeopleSoft or ctcLink
  • Experience using customer relationship management software (e.g., TargetX, Salesforce, Starfish, etc.)
  • Knowledge of SCC/Spokane Colleges registration policies and procedures.
  • Knowledge of FERPA.
  • Familiarity with Washington State, Spokane Colleges, and SCC policies and procedures.

PHYSICAL REQUIREMENTS

  • Work is performed in a normal, temperature-controlled office environment.
  • Work is sedentary in nature.
  • Frequent use of computer and exposure to terminal screens.
  • Visual focus and strain.
  • Work directly with students/clients.
  • Work involves constant interruptions and requirement to answer on demand questions by phone, in person, or electronically.
  • Frequent repetitive hand/wrist motions and finger manipulation.
  • Frequent oral and auditory communication with others.

CONDITIONS OF EMPLOYMENT

  • Contract 12-month position.
  • This position is overtime eligible.
  • Requires occasional local or regional travel to rural campus sites.
  • Criminal background check is required.

This is a contracted, exempt management position. Medical, dental life and long term disability insurance benefits are provided as currently administered under the Public Employees Benefits Board; TIAA-Cref retirement plan or WA State Retirement Plan. Vacation leave accrues at the rate of 14.67 hours per month (22 days per year) and sick leave accrues at the rate of 8 hours per month, effective upon employment. (For positions that are less than full time, leave accruals will be prorated to the percentage of the position.)
