Administration Officer – Veterans’ Home Care (VHC)

What You Will Do

• Provide high‑quality administrative and operational support to ensure efficient delivery of Veterans’ Home Care (VHC) services.
• Source, assess and maintain a reliable network of service providers that meet organisational and compliance standards.
• Manage travel review requests by collating, prioritising and coordinating actions, ensuring all requests are processed accurately and on time.
• Maintain and submit the weekly VHC GAP List, ensuring data accuracy and timely communication with coordinators.
• Support client intake by answering calls when assessors are unavailable and entering call details into SWIFT.
• Conduct Home Garden Maintenance (HGM) assessments and enter accurate data to support assessor workflow.
• Ensure compliance with VHC, privacy and organisational requirements while managing mail and documentation processes.
• Collect, verify and prepare quality data for organisational reporting, ensuring accuracy, completeness and reliability.
• Process financial documentation through Certify, including scanning, uploading and submitting receipts for approval.
• Generate and mail client contact letters when required, ensuring communication attempts are documented.
• Prepare Residential Respite Approval letters using mail merge and create monthly spreadsheets for coordinators.
• Maintain organised, audit‑ready records and support smooth day‑to‑day operations within the Veterans’ Home Care team.

About You

• Demonstrated experience coordinating high‑volume administrative workflows.
• Strong data accuracy skills, with experience preparing compliance or quality reporting.
• Ability to research, evaluate and maintain relationships with external service providers.
• Excellent written communication skills and confidence preparing formal client correspondence.
• Strong organisational skills and the ability to manage competing priorities.
• Comfortable working with systems, maintaining accurate records and supporting operational processes.
• Enthusiastic, proactive and able to work calmly in a changing environment.
• Required screening and compliance (or willingness to obtain) a NDIS clearance check
