The Role

We are looking for an experienced Administration Assistant to join Gisborne Oaks, our residential aged care home in Gisborne, home to 75 residents.

This is a permanent part-time position working Monday to Friday from 9.00 am to 3.00 pm, totalling 55 hours per fortnight. With no evening or weekend work, the role offers dependable hours and genuine work-life balance.

As the Administration Assistant, you will play an important role in keeping the home organised and welcoming. You will be a familiar and friendly point of contact for residents, families, visitors and employees, while providing essential administrative support to the home’s daily operations.

This is a great opportunity for an experienced receptionist or customer service professional ready to take the next step in their career. It may also suit someone from a health or community services background looking to move into an office-based position while continuing to make a positive difference in the lives of older people.

In this role, you will:

  • Provide friendly and responsive customer service over the phone, through the central inbox and at the front reception desk
  • Welcome residents, families, visitors, employees and contractors to the home
  • Conduct site orientation tours and provide a warm, informative experience for prospective residents and their families
  • Support resident admissions and maintain accurate resident information and documentation
  • Assist with employee paperwork, onboarding and offboarding processes
  • Support staff availability management and rostering activities
  • Process invoices and assist with agency and contractor administration
  • Schedule meetings, training sessions, appointments and site events
  • Provide general administrative support to the Residential Services Manager and wider team
  • Build positive relationships with residents and take the time to make a difference in their day

About you

To be successful in this role you will need:

  • Experience performing reception and administrative tasks in a fast paced environment
  • An interest in spending time with the elderly, and demonstrated empathy and kindness towards them
  • High level of verbal and written communication skills
  • A high attention to detail, accuracy and effective time management skills 
  • A formal administrative qualification or study in a relevant discipline is highly desirable
  • A NDIS worker screening clearance ID or the ability to obtain
