Duties & Responsibilities:

VCU’s Facilities Management Department is seeking to hire an Auxiliary Services Supervisor for Facilities Operations.

The working Supervisor manages the after-hours emergency response and preventative maintenance team.

The working Supervisor:

  • Organizes, leads, instructs, plans, schedules, and directs a team of skilled and semi-skilled multi-craft trades
  • Sets and communicates expectations related to the unit's goals and objectives
  • Provides constructive feedback and training to ensure that team members have the necessary knowledge and skills to achieve these goals
  • Manages performance in accordance with university policies and guidelines- including recruiting, discipline, evaluations, and employee work profiles
  • Plays a critical role in planning and coordinating the work of multiple trades to ensure high-quality performance and exceptional customer service, all while optimizing the efficiency and effectiveness of operations within the zone
  • Provides direction to the trades team and establishes key performance indicators and metrics, and the supervisor consistently develops, utilizes, and completes reports and queries, including workload management, using a computer maintenance management system (AiM)
  • Plays a critical role in planning and coordinating the work of multiple trades to ensure high-quality performance and exceptional customer service, all while optimizing the efficiency and effectiveness of operations within the zone

Responsibilities include (but are not limited to):

Performance Management

  • Expectations are clear, well communicated and relate to the goals and objectives of the department or unit
  • Responsible for all recruitments and establishment of employee work profiles and performance goals
  • Staff have the necessary knowledge, skills, and abilities to accomplish goals
  • The requirements of the performance management system are met and evaluations are completed by established deadlines with proper documentation
  • Performance issues are addressed and documented as they occur
  • Safety issues are reviewed and communicated to ensure a safe and healthy workplace

Leadership

  • Goals are achieved in a timely manner
  • Staff is well organized and prepared for tasks at hand
  • Staff receive frequent, constructive feedback
  • Staff members have been instructed and understand the objectives and direction of the group
  • Subordinates can assume duties without assistance on short notice
  • Fosters teamwork and communication within Facilities Management
  • Shares information and ideas to improve customer service and promote Facilities Managements goals

Work Management

  • Work is completed safely, efficiently and effectively
  • Reporting is accurate and timely; consistently develop, utilize and complete management reports/queries
  • Priorities are handled in appropriate fashion and according to established SOP’s
  • Establish, schedule and oversee assigned preventive maintenance schedules
  • Materials necessary to execute maintenance plans are available to facilitate timely, smooth workflow
  • Support all efforts related to AiM, to include AiM Go

Fiscal Responsibility

  • Comply with all Procurement and Facilities Management policies and guidelines
  • Work is completed, efficiently and effectively achieving the best possible results within the budget framework
  • Risk Management – Demonstrates a commitment to risk assessment (considering cost, benefit, and impact); utilizes identified internal control mechanisms; practices routine verification of the accuracy of data
  • Complete on line reconciliation of monthly credit card statements in accordance with established SOP’s

Other Duties as Assigned

  • To include being designated to work/on call during emergencies and inclement weather
  • Perform management availability as scheduled

Qualifications:

Minimum Qualifications

  • Knowledge and demonstrated experience supervising, instructing, directing, leading, evaluating, organizing, scheduling and planning a team of skilled and semi-skilled multi-craft trades in a Commercial or Institutional Facility
  • Extensive knowledge of physical plant maintenance and methods of construction: general knowledge of the various trades
  • Demonstrated ability to work from plans for improvement or alteration of buildings and equipment
  • Ability to set priorities, experience managing budgets, oversee contractors and knowledge of the Commonwealth of Virginia’s procurement system
  • Computer skills to include Computerized Maintenance Management System experience
  • Strong leader with excellent written and oral communication skills and customer service focus
  • Exposure to and knowledge of safe work environments in accordance with OSHA, federal, state, and local regulations, as well as environmental health standards for indoor environmental quality
  • A minimum of a High School Diploma or G.E.D.
  • Valid Virginia Driver's License is required
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Experience working in a higher education and research environment preferred
  • State of Virginia Journeyman License in Electrical, Plumbing or HVAC preferred

Salary Range: $75,000 - $85,000 + up to $5,000 Sign-on Bonus

Work Days/Hours: Monday-Friday, Two Days per week: 6:00am-2:30pm, and Three Days per week: 12:00pm-8:30pm; the specific days assigned to each shift can be determined based on mutual preference but will remain consistent once set
