Duties & Responsibilities:
VCU School of Nursing invites applicants to apply for the position of Community Engagement and Practice Program Coordinator. The Community Engagement and Program Coordinator serves as a central operational and strategic support leader for the Office of Practice and Community Engagement within the VCU School of Nursing, directly supporting the Associate Dean for Practice and Community Engagement (ADPCE) and the Mobile Health and Wellness Program (MHWP). This position ensures the effective coordination, fiscal management, contract oversight, and project execution required to sustain and grow faculty practice and community-engaged initiatives. This role is essential to maintaining operational excellence, strengthening collaborations with VCU Health and community partners, and ensuring timely, accurate execution of strategic priorities that advance practice, education, and community impact.
Key Responsibilities:
Department Office Management
- Monitors the status and assists with new and renewing agreements in the Office of Practice and Community Engagement in coordination with school leadership, community partners, and VCU Health System.
- Manages the Office of Practice and Community Engagement’s Fiscal operations (managing ordering, budgets, projecting costs).
- Leads project management for the Office of Community Engagement’s activities.
- Assists the MHWP coordinator and director with interdisciplinary student and faculty projects.
- Assists with editing and preparing reports to be distributed to the VCU School of Nursing (SON), VCU Office of the Vice President for Research and Innovation (OVPRI), VCU Health System, grant sponsors, etc.
- Prepare and distribute materials for external committee commitments, ensuring timely delivery and accuracy.
- Assist with manuscript and abstract preparation and submission (references, formatting, uploading).
- Assist with foundation grant preparation and maintenance of grant resources (templates, documents).
- Organize and assist with VCU Health collaborations, project management, and meeting requirements.
- Organize community events such as MHWP Community Advisory Board Meetings and Community Partner meetings, including logistical management of locations, technology setup, and participant coordination.
- Assist the Office with processing membership renewals, travel arrangements, and conference registrations in a timely manner.
- Manage the ADPCE's calendar, handling all scheduling, meeting requests, invitations, and events, while prioritizing urgent and strategic engagements to ensure optimal use of the ADPCE’s time and resources.
- Provide administrative support to the MHWP Team.
- Provide administrative support to the School of Nursing Faculty Practice
- Other duties as assigned.
Financial Management
- Ensures all departmental expenditures comply with State and University policies and procedures
- Creates purchase orders in RealSource
- Receives orders in Banner and ensures prompt, accurate payment to vendors through timely invoice submission to Procurement
- Uses and manages the University-approved Corporate Card in accordance with School and University procedures
- Performs monthly reconciliation of the purchase card in compliance with University policies, including:
- Online receipt submission
- Required sign-offs
- Establishes and maintains an organized filing system to document all expenditures and transactions
- Collaborates with the Director of Finance to assign correct index and account codes and ensure compliance with financial policies and procedures
- Reconciles departmental indexes on a monthly basis
- Meets monthly with ADPCE's to review and discuss departmental expenditures
- Demonstrates a commitment to risk assessment (considering cost, benefit, and impact)
- Utilized identified internal control mechanisms
- Practices routine verification of the accuracy of data
Qualifications:
Minimum Qualifications
- Experience organizing events and programming for faculty, students, and communities
- Successful work history demonstrating either effective project management or management of multiple complex tasks.
- Ability to understand and interpret university policies and procedures.
- Ability to work well independently or as part of a team, establishing and maintaining cooperative working relationships with colleagues.
- Attention to detail, good written/verbal communication, and analytical skills.
- Collaborative and transparent leadership style, cultural awareness and agility, and the ability to build trust and credibility
- Demonstrated ability to work productively, both independently and as part of a team
- Excellent analytical skills; demonstrated expertise in relevant computer software programs, including Windows operating system, Excel, Microsoft Office, Google, email, and calendar programs.
- Excellent time management and organizational skills.
- Identify and meet continuous quality improvement needs.
- Scheduling and teleconferencing software skills - i.e., Zoom, Google Calendar, and Doodle Poll
- Demonstrated experience working in and fostering an environment of respect, professionalism, and civility with a population of faculty, staff, and students from various backgrounds and experiences, or commitment to do so as a staff member at VCU.
Preferred Qualifications
- Bachelor’s degree in a relevant field, or equivalent combination of education, training, and experience.
- Project management experience or training
- Experience working in a research and teaching environment
Position will remain open until filled, with a priority application date of April 22
Salary Range: Commensurate with experience starting at $55,000
FLSA Exemption Status: Non-Exempt
