Duties & Responsibilities:

The Accreditation and Compliance Coordinator provides essential administrative, technical, and logistical support for the university’s institutional accreditation (i.e., SACSCOC) and federal regulatory portfolios. This position ensures the integrity of evidence repositories, manages project timelines, and facilitates communication between leadership and individual academic units in support of institutional compliance efforts.

Primary Responsibilities:

Evidence and Data Management:

  • Repository Maintenance. Assist in the ongoing organization and version control of the university’s centralized evidence repositories and compliance matrices.
  • Data Collection. Serve as the primary point of contact for collecting and organizing data and supporting materials for review by the Accreditation and Compliance Specialist.  Manage survey deployment schedules, track response rates, and compile and export survey data for analysis. 
  • Quality Assurance. Conduct initial reviews of submitted documentation to ensure it meets technical and institutional formatting standards before final submission to the Accreditation and Compliance Specialist.
  • Assessment and Accreditation Tracking. Maintain an institutional master calendar of all specialized accreditation cycles, tracking self-study submission deadlines and site visit dates across all schools/colleges. Maintain the multi-year rotation schedule for general education assessment.

Regulatory Compliance Support:

  • Audit Assistance. Support the Accreditation and Compliance Specialist in conducting regular audits of faculty credentials and reviewing university websites, bulletins, and student-facing materials for accuracy of public disclosures, specifically regarding 34 CFR 668.43 professional licensure requirements. 
  • Workflow Support. Maintain the calendar of reporting deadlines for NC-SARA and other state authorization requirements, ensuring all unit tasks remain on schedule

Institutional Capacity Building:

  • Resource Distribution. Disseminate compliance tools, including templates, process maps, and checklists to stakeholders.
  • Training Coordination. Assist in organizing workshops or informational sessions designed to educate faculty and staff on accreditation and compliance procedures

Operational Logistics: 

  • Project Logistics. Manage scheduling, meeting minutes, and follow-up tracking for committees or workgroups focused on accreditation and regulatory readiness.
  • Monitoring Emerging Trends. Assist in tracking legislative updates or changes to SACSCOC policies by compiling summaries of relevant communications for leadership’s review.
  • Technical Administration. Serve as the primary technical administrator for the university’s accreditation management system, handling user permissions, troubleshooting, and training for campus users.
  • Directly manage and update the internal compliance hub, creating a “one-stop shop” for templates and resources.
  • Update Canvas training courses as needed

Minimum Qualifications:

  • Bachelor’s degree or equal combination of knowledge, skills and professional experience.
  • High attention to detail, particularly regarding document version control and data accuracy
  • Strong technical proficiency in document management systems (e.g. SharePoint, Watermark, etc.) 
  • Experience administering and distributing institutional or academic surveys using enterprise level platforms (e.g., QuestionPro, Qualtrics)
  • Effective communication skills, capable of guiding stakeholders through established compliance processes
  • Ability to manage multiple concurrent project timelines
  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU

Preferred Qualifications:

  • Master’s degree in Higher Education Administration, Public Administration, Data Analytics, or a related field.
  • 2–3 years of professional experience in an institutional effectiveness, academic affairs, or compliance office within a higher education setting.
  • Hands-on experience administering or heavily utilizing institutional effectiveness software platforms such as Watermark and Xitracs.
  • Advanced proficiency with enterprise document management platforms with a proven ability to maintain rigorous file version control and logical folder structures.
  • Strong organizational and project management skills, with a proven track record of managing multi-year reporting timelines, tracking milestones, and keeping cross-functional teams on schedule.
  • Exceptional proofreading and technical editing skills, with the ability to review public disclosures, websites, and data compliance matrices for accuracy.
  • Excellent interpersonal communication skills, with a demonstrated ability to exercise diplomacy, patience, and clarity when requesting data.
  • Ability to understand and apply established regulatory guidance and accreditation requirements under the direction of institutional compliance leadership , such as institutional accreditation standards (SACSCOC) or federal higher education regulations

Salary Range: Up to $55,000
