VCU Libraries is seeking a detail oriented and service focused Human Resources Specialist to deliver comprehensive HR operational support across our organization. This position serves as a primary contact for library employees and management, playing a vital role in recruitment, payroll, compliance, and employee experience.
Core Duties and Responsibilities:
HR Operations and Employee Support: Provide comprehensive HR operational support across employment, compensation, benefits, payroll, and employee services functions. Assist employees and supervisors with questions regarding university policies, leave administration, and benefits.
Talent Acquisition and Onboarding: Coordinate recruitment and hiring activities for faculty, staff, hourly team members, and student workers. Assist with onboarding workflows including offer letters, background checks, I-9 verification, new hire documentation, and orientation coordination.
Personnel Processing and Records Management: Process personnel transactions such as hires, rehires, transfers, pay adjustments, and separations using systems like Banner, ePAF, and JOT forms. Maintain confidential employee records within Talent@VCU, DocuSign, HireRight, and ImageNow or Perceptive Content.
Payroll and Timekeeping: Serve as departmental timekeeper responsible for processing, reviewing, and monitoring payroll, timekeeping, and leave submissions using Realtime software.
Compliance, Analytics, and Projects: Support HR compliance efforts related to federal, state, and university regulations, including FMLA and employment eligibility requirements. Analyze HR data to identify trends, support process improvement initiatives, and participate in special departmental projects and training presentations.

Duties & Responsibilities:
The HR Coordinator supports the daily human resources operations of VCU Libraries by coordinating recruitment, onboarding, employee services, payroll administration, and HR compliance activities. Serving as an essential member of the HR team, this position provides operation and cutomer focused support to faculty, staff, student employees, and supervisors across a dynamic academic environment.
This role is responsible for processing HR transactions, maintaining confidential employee records, supporting leave and payroll administration, and assisting with HR systems and reporting functions. The HR Coordinator also contributes to process improvement initiatives, training coordination, and special projects while ensuring compliance with university policies and applicable federal and state regulations. Successful candidates will demonstrate strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a collaborative and service oriented environment.

Minimum Qualifications:
- Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.
- Experience supporting human resources operations, recruitment, onboarding, payroll, employee services, or related administrative functions.
- Knowledge of federal, state, and university employment, compensation, payroll, and benefits laws, regulations, policies, and procedures.
- Ability to process confidential employee records and HR transactions with accuracy and attention to detail.
- Ability to interpret and explain HR policies, procedures, and benefits programs.
- Demonstrated ability to communicate effectively orally and in writing with individuals from diverse backgrounds and at all organizational levels.
- Demonstrated organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Experience providing excellent customer service while handling sensitive and confidential information.
- Proficiency using Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and DocuSign.
- Demonstrated ability to work in and foster an environment of respect, professionalism, and civility with faculty, staff, and students from varied backgrounds and experiences.
Preferred Qualifications:
- Experience working in higher education, academic, healthcare, or public-sector human resources environments.
- Experience utilizing HR systems such as Banner, Talent@VCU, HireRight, Realtime, and ImageNow/Perceptive Content.
- Experience processing ePAFs, payroll adjustments, onboarding documentation, and employee personnel transactions.
- Knowledge of FMLA, leave administration, payroll processing, and employment eligibility verification procedures.
- HR certification such as SHRM-CP, SHRM-SCP, PHR, or related credential.
Salary Range: $46,600 - $55,000
