Duties & Responsibilities:
Position Summary: The Ryan White Part C Eligibility Coordinator is responsible for determining, documenting, and maintaining client eligibility for services funded through the Ryan White HIV/AIDS Program (RWHAP) Part C. This position ensures compliance with HRSA guidelines by conducting eligibility screenings, coordinating recertifications, maintaining accurate documentation, and supporting access to HIV care and related support services. The Eligibility Coordinator works closely with case management staff and program compliance teams to ensure uninterrupted care for eligible clients. Coordinators will work under intermittent supervision, resolving complex issues independently and referring unprecedented issues to a higher level.
Core Responsibilities:
Responsibility 1 (90 %): Eligibility Recertification
•Conduct ongoing eligibility screenings for Ryan White Part C clients in accordance with HRSA and VCU RWP requirements.
•Verify and document HIV status, residency, income, and insurance coverage.
•Complete eligibility determinations every calendar year.
•Ensure timely recertification to prevent service gaps.
•Maintain complete, accurate, and confidential eligibility records in both EPIC and CAREWare, ensuring RSR-related data elements are entered accurately.
•Educate clients on Ryan White services, eligibility requirements, and recertification timelines.
•Serve as a liaison between clients and case management regarding eligibility and coverage issues.
•Identify and escalate eligibility or documentation issues that may impact service access or compliance.
•Collaborate with program managers, providers, billing staff, and case managers to ensure eligibility information supports service delivery and billing.
Responsibility 2 (5%): Other Duties as Assigned
•Assist as needed to complete program objectives.
•Attend any supervisor-required meetings, trainings, and competencies, and be prepared to discuss achievements or opportunities for improvement related to your assigned duties.
•While working away from the office for an approved reason, conduct oneself as an ambassador of the University and adhere to all ethical and conduct roles as set forth by the University.
Responsibility 3 (5%): Professional Development/Continuing Education
•Engage in professional development/ continuing education
•Provide feedback to peers and program leadership upon completion/attendance of pre-approved professional development/continuing education activity.
Qualifications:
Minimum Qualifications
•3 to 5 years of relevant professional experience or equivalent combination of education, training, and experience
•Knowledge of state, federal, and private health insurance and social service benefits
•Excellent interpersonal skills.
•Excellent oral and written communication skills.
•Ability to work independently under minimum supervision and as part of a team.
•Strong attention to detail
•Experience with data collection/entry
•Ability to work and communicate effectively with individuals from culturally and socioeconomically unique backgrounds.
•Must have the ability to meet specific deadlines and coordinate multiple tasks.
•Knowledge of HIPAA and ability to implement privacy and confidentiality practices.
•Demonstrated experience working in and fostering an environment of respect, professionalism, and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU.
Preferred Qualifications
•Knowledge and Experience with the Ryan White grant program
Salary Range: $48,000 (commensurate with experience)
