About this Position

The Office of Academic Affairs is seeking a dedicated and detail-oriented Administrative Assistant to support the daily operations of the office. This role is integral to ensuring efficient workflow and professional communication within Academic Affairs. Administrative Assistants perform a variety of essential tasks, including preparing memos, meeting agendas and minutes, letters, managing correspondence, and assisting with departmental events.

  • Answer phone calls and greet visitors in a professional manner.

  • Schedule and coordinate appointments, meetings, and calendars.

  • Prepare and distribute communications such as memos, emails, reports, and letters.

  • Create and maintain filing systems (electronic and physical).

  • Open the office daily and ensure a welcoming and efficient front-office environment.

  • Assist with planning and executing events hosted by Academic Affairs.

  • Manage mail distribution and office supply inventory.

  • Respond to and screen incoming emails and inquiries.

  • Prepare travel documents in accordance with university policies and procedures.

  • Supervise and provide guidance to work-study students assigned to the office.

  • Maintain a high level of confidentiality and professionalism at all times.

Required Qualifications

  • Associate's Degree
  • 1-2 years of experience in an administrative or office support role.

Skills, Proficiencies, and/or Knowledge:

  • Strong verbal and written communication

  • Excellent organizational and time management skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)

  • Keen attention to detail

  • Professionalism and interpersonal awareness

  • Ability to multi-task and solve problems effectively
