About this Position

The Oklahoma Crop Improvement Association (OCIA) is the seed certification agency for Oklahoma. The OCIA is governed by a Board of Directors consisting of nine members representing all areas of the state and three ex-officio members (the Head of the Department of Plant and Soil Sciences at OSU and the Director of Plant Industry, Consumer services (Oklahoma Department of Agriculture), and an Industry Representative. All certification activities are conducted in close cooperation with the faculty and staff of Oklahoma Foundation Seed Stocks (OFSS) and the Department of Plant and Soil Sciences at OSU. Position Information: This position will be filled as part-time (30 hours/week) or full-time (40 hours/week) based upon the preferences of the best candidate.

The Accountant I/II will manage all financial and business office operations for OCIA. This includes accounts and accounting transactions, deposits, monthly reconciling, inventory, and maintaining all databases. Correspond with all growers and stakeholders regarding any issues and inspection forms. Assist Executive Director in administrative support duties, including board meetings, the annual meetings, banquets, etc.

Specific Duties Include: Responsible for OCIA A/R and A/P using accrual accounting practices. Manage all association financial accounts. Provide the Executive Director and Board of Directors with up-to-date quarterly reports. Maintain record systems. Prepare financial statements and reports of association accounts. Help design, implement, and maintain internal audit procedures and risk assessment processes. Ensure compliance with all applicable plans, policies, and standards. Keep a check on processes and regulations, ensuring compliance with financial policies and regulations. Balance credit card receipts and in-house ledger system. Prepare bank deposits. Calculate all service fees associated with seed certification. Prepare and mail monthly statements to customers and follow-up letters as needed. Prepare part-time employees’ hourly payroll paychecks, inspectors’ reimbursements etc. Prepare all checks for executive director’s signature. Reconcile monthly bank statements for all accounts. Prepare and file federal and state income tax reports as scheduled. Prepare and mail W-2’s to employees. Prepare financial reports and assist auditor with annual Oklahoma Crop Improvement audit. Maintain tag inventory and office supply inventory.Maintain and update OCIA databases with seed certification information. Print and distribute certification tags. Compile certification reports for meetings and/or publication. Correspond with growers and stakeholders. Serve as the association’s first-contact person - answering phones, scheduling meetings, responding to emails, and providing excellent customer service. Review and process field applications and seed transfers by confirming field and seed eligibility. Prepare and mail Form B statements of fields applied for inspection. Prepare and distribute inspection forms and communicate with inspection personnel. Publish Annual Seed Directory, providing class of variety produced and producers contact information. Oversee part-time personnel, open and sort mail, logging and distributing incoming packages, copying, filing, etc. Assist Executive Director in all aspects of the planning and execution of the OCIA Annual Meeting. Maintain OCIA webpage. Ordering and maintaining office supplies. Other duties as assigned.

Required Qualifications

  • Bachelor's Accounting, Finance, Business Administration, Ag Business, or related field (degree must be conferred on or before agreed upon start date)
  • Excel, QuickBooks, Word, Outlook

  • Certifications, Registrations, and/or Licenses:
    • Valid Drivers License
    • Reliable transportation for travel connected with official duties (Reimbursement for official travel)
  • Skills, Proficiencies, and/or Knowledge:

    This position requires excellent verbal and written communication skills, as well as the ability to respond to issues in a timely manner. Excellent business management and customer service. Sound understanding of audit procedures. Familiarity with general accounting practices and techniques. Strong interpersonal, critical thinking, and time management skills. Comfortable working in a collaborative environment.
