About North East Link
The Spark Consortium has been selected to deliver the Central Package of the North East Link Project - Victoria's biggest road project.
The Spark Consortium’s Design and Construction Contractor - which comprises Webuild, CPB Contractors, GS Engineering and Construction and China Construction Oceania - will deliver the twin three-lane tunnels and key interchanges for the project.
The Central Package will be delivered as a Public Private Partnership and provides three-lane twin tunnels that will close the missing link in Melbourne’s freeway network from the M80 Ring Road to an upgraded Eastern Freeway, reducing journey times and diverting heavy vehicles away from local roads. Up to 135,000 vehicles will use North East Link every day, reducing congestion in the north-east while maintaining local roads.
About the role:
We are seeking a TBM Operations Advisor to join our TBM construction team at Watsonia, to play a vital role in ensuring the smooth operation of construction projects by handling administrative, logistical, and operational tasks while supporting our Superintendent with the day to day tasks.
Key Responsibilities:
Time sheet management:
- Process and track workforce hours by receiving sign on sheets daily from supervisors and manually adjust or delete timesheets in the system including notes related to inclement weather, sick leave, annual leave etc.
- Process and manage reclassification, medical certificates, induction and leave forms
- Process and manage backpay requests by liaising with payroll and supervisors
- Finalise all workforce (300+) pay’s each Monday
- Print out Sign on sheets for each week and Workforce allocation sheets and distribute to relevant supervisors
- Ensure sign-on sheets are up to date with any new starters
- Keep the annual leave calendar up to date
- Send Engineer’s sign-on sheet on a weekly basis
- Collaborate with payroll every Tuesday to assist with any queries around timesheets, making and confirming changes to make sure timesheets are submitted on time
- Coordinate and manage crew member swaps with supervisors and notify payroll and site admin with any changes to ensure roster and cost code allocation are updated
Coordination tasks:
- Provide support to the Superintendents and Supervisor with any urgent or evolving tasks such as managing emails daily, respond to immediate issues and help with problem-solving in operations, scheduling, or documentation.
- Coordinate communication between different departments of workforce, supervisors/superintendent and HR, recruitment and payroll
- Attend weekly meetings with Site Administrator to review and update cost codes
- Update and maintain Damstra, cost code, start dates and employee codes in the workforce allocation sheet
- Collaborate with recruitment to assist with workforce onboarding ensuring all data is accurate in the payroll system
- Ensure the new starter list is regularly updated and sent to safety, recruitment and payroll before Thursday site inductions.
- Maintain the whiteboard with up-to-date information on new starters
- Attend weekly workforce meetings with recruitment and engineers to understand the forecast and expected new starters
- Organise monthly BBQs
Minimum requirements:
- 5+ years of experience in construction site administration, logistics, or operations support
- Experience on large-scale infrastructure construction is preferable
- Timesheet management experience is highly desirable
- Blue Collar and/or Sub-contractor experience is highly desirable
- Own vehicle is a requirement for the role
- Full time site-based role
Knowledge, Skills & Abilities:
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong ability to liaise between site teams, management, suppliers, and subcontractors
- Problem-solving skills to address site challenges quickly
- Attention to detail and working independently
- Ability to work to deadlines and manage conflicting priorities in a high-volume work environment
- Ability to negotiate and resolve conflicts with confidence, but tactful
- Strong level written and verbal communication

Please note, this is a full-time site-based role with expectations to work on Saturdays at times to meet the operational requirements. It is also a requirement to have your own vehicle.
