The Opportunity

Are you ready to take on a pivotal role in supporting innovation and intellectual property management? Monash University is seeking a Senior Patent Administrator to provide high-level administrative and office management support to our Head of Intellectual Property.

In this dynamic position, you’ll be the backbone of our IP operations, ensuring smooth workflows, managing critical deadlines, and maintaining accurate records for our patent portfolio. From coordinating legal documentation and financial processes, your expertise will help to drive the success of our intellectual property team efforts.

What You’ll Do:

  • Manage all administrative functions for the IP and patent portfolio.
  • Maintain and develop robust record-keeping and reminder systems.
  • Coordinate patent payments and provide status updates to stakeholders.
  • Prepare and process legal documents, including assignments and powers of attorney.
  • Liaise with external patent attorneys and internal teams.
  • Organise committee meetings and action outcomes.
  • Oversee finance processes related to patents and in-house commercialisation fund.

  • Proven experience in legal or patent administration.
  • Strong organisational and time-management skills.
  • Excellent interpersonal and communication abilities.
  • High-level computer literacy and database management.
  • Discretion, tact, and a commitment to confidentiality.
