The Opportunity

Looking for a fast-paced role where you can truly make an impact? Reporting directly to the Senior Director, Strategy & Operational Performance, you will drive operational excellence for the Office of the Vice-President (Marketing and Communications) and Interim Chief Executive Officer, Monash College. Working flexibly across dynamic, modern locations (including Docklands and Clayton), you will thrive in a digital-first environment that values innovation, diversity, and strategic growth.

As the successful candidate, you will be responsible for:

  • Executive Coordination: Managing complex diaries, international and domestic travel, and daily workflows to ensure senior leaders stay ahead of the curve.

  • Secretarial Support: Drafting high-quality correspondence, preparing committee agendas, and taking accurate minutes.

  • Stakeholder Engagement: Acting as a key conduit and building strong relationships with a diverse network of internal and external partners.

  • Financial Administration: Managing financial records and ensuring accurate credit card and expense reconciliations.

  • Continuous Improvement: Identifying and implementing smart solutions to streamline processes and elevate office efficiency.

The role works flexibly across multiple locations, including 211 Wellington Road, Mulgrave, 750 Collins Street, Docklands and Chancellery Building, Clayton Campus, among others. 

To be successful in this role, you will ideally have:

  • A relevant degree or an equivalent blend of qualifications and hands-on administrative experience.

  • Extensive experience delivering top-tier executive support within a large, complex, or rapidly changing environment.

  • Outstanding organisational and time-management skills, with a proven ability to juggle competing priorities and meet tight deadlines.

  • Exceptional communication skills, a sharp eye for detail, and advanced computer literacy (Microsoft Office and corporate systems).

  • The ability to work collaboratively while maintaining a high degree of independence, sound judgement, and strict confidentiality
