The PMO creates significant value to MMG by provide document control support to implementation projects, including document control management system in Khoemacau Expansion Project.
We are pleased to advise that we seek a Project Document and Admin Lead. Based in Beijing and reporting to PMO Manager and Main Shareholder Liaison the purpose of this job is to provide comprehensive administrative support for the Beijing office, which includes but is not limited to preparing the office location to ensure it is fully operational, procuring necessary office supplies and equipment, and managing relationships with administrative vendors to ensure efficient and cost-effective services.
The key focus and main activities are
Document control work
• Manages documents (internal & external).
• Construction drawings ensure revision correct, all technical documents, suppliers’ data up to date.
• Checks compliance and quality of documents according to established protocols.
• Distribute monthly reports, executive presentation, meeting minutes to relevant stakeholders for monthly project director’s reporting task.
• Maintains a list (register) & files document, project documents register, project framework documents register, all plants drawings register, etc,
• Documents distribution matrix maintaining.
• Reports on the progress of documents establish and maintain document control procedures and systems up to date.
• Receive, review, and process incoming and outgoing documents, ensuring accuracy and completeness.
• Maintain document databases and electronic filing systems (SharePoint and MS Teams)
• Monitor document revisions and ensure that the latest versions are used in construction work.
• Collaborate with teams to ensure proper document management and compliance.
• Conduct headquarters technical and project control audits to ensure document accuracy and integrity.
• Other motivation work including but not limited to coordinate with operation teams and vendors for site technical interpretation task etc.
Adm. Work
• Provide general administrative support to ensure smooth office operations.
• Facilitate the issuance of necessary equipment, office supplies, and company cards for new employees.
• Organize new employee onboarding, including site introductions and company policies to ensure compliance and a smooth transition.
• Assist in coordinating travel and accommodation arrangements for employees on business trips, ensuring efficiency and cost-effectiveness.
• Support work permit and visa applications, ensuring timely submission and compliance with local regulations.
• Oversee procurement of office supplies and equipment to meet operational needs.
• Document key meetings, prepare reports, and provide translation support as needed.
• Perform other administrative tasks as required to support overall operations.

• Bachelor's degree in a relevant field or equivalent experience.

• Proficiency in document management software and electronic filing systems.
• Knowledge of industry standards and regulations related to document control.

• Excellent oral and written skills in Chinese, English.
• Excellent computer skills: MS Office and other communication software.

Key to success in this role is the ability to
• Document Management Systems: Familiarity with document management software and systems is essential. This includes knowledge of how to upload, organize, retrieve, and track documents within the system.
• Document Control Procedures: Understanding of document control procedures and best practices is critical. This includes knowledge of document numbering, version control, document review and approval processes, and document lifecycle management.
• Regulatory Compliance: Awareness of relevant laws, regulations, and industry standards related to document control is important. This includes understanding requirements for document retention, confidentiality, data protection, and compliance with regulatory bodies.
• Recordkeeping: Knowledge of recordkeeping principles and practices is necessary. This includes understanding how to maintain accurate and complete records, ensure document integrity, and implement proper archiving and disposal procedures.
• Document Formatting and Editing: Proficiency in document formatting and editing is beneficial. This includes knowledge of formatting standards, styles, and templates, as well as the ability to review and edit documents for clarity, consistency, and accuracy.
• Communication and Collaboration: Strong communication and collaboration skills are essential for a Document Controller. This includes the ability to effectively communicate with stakeholders, collaborate with cross-functional teams, and provide training and support on document control processes.
• Attention to Detail: A high level of attention to detail is required to ensure accuracy and completeness of documents. This includes the ability to review documents for errors, inconsistencies, and compliance with established standards.
• Information Management: Understanding of information management principles, including data classification, data security, and data privacy, is important for maintaining the confidentiality and integrity of documents.
• Knowledge of Chinese and Botswana cultures.
