The PsyD Program Administrative Assistant plays a vital role in ensuring the smooth and effective operation of Pepperdine’s doctoral program in psychology. Reporting to the Senior Associate Program Director, this position provides comprehensive support to program leadership, faculty, staff, and students. From coordinating processes related to student matriculation, clinical training, and career progression to supporting program committees and managing critical data, the Administrative Assistant helps drive the success of the PsyD program and its mission to prepare future clinical psychologists.

This role is well-suited for someone who is organized, detail-oriented, and service-focused, with the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant serves as a central point of contact for the program, fostering positive connections across the University while gaining valuable experience in higher education administration.

Duties

  • Administrative Support: Collaborate closely with the Senior Associate Program Director to ensure smooth day-to-day operations within the Division. Provide support across key areas including admissions, student orientations, registration, clinical training, examinations, dissertations, grading, class scheduling, faculty support, graduation, alumni engagement, professional development, and licensing. Assist with database management and data analysis to support these functions.

  • Program Support: Partner with PsyD and Psychology team members as needed, including assisting with annual orientation, proctoring PsyD student examinations three times per year, supporting committee initiatives, and coordinating GSEP’s annual commencement.

  • Scheduling & Coordination: Maintain the PsyD calendar for staff and students, schedule meetings, and ensure clear communication of important program deadlines and activities.

  • Instructional Support: Work in collaboration with the Assistants to the Associate Deans to support the instructional mission of the PsyD program and promote overall program efficiency.

  • Continuing Education & Alumni Engagement: Assist with coordinating continuing education opportunities, maintain active contact with alumni, and support professional development and the Continuing Education Program.

  • Additional Responsibilities: Perform other duties as assigned and uphold the University’s mission through all work performed.

Skills and Qualifications

Required

  • One ore more years of relevant work experience that required attention to detail, excellent organization and communication skills, independent follow-through.
  • Skilled in all Microsoft Office programs (Word, Excel, PowerPoint) and database programs.
  • Skilled in Adobe Acrobat and/or other programs specific to the development of forms (paper and web-based).
  • Training in web-based applications and in the preparation of web-based content.
  • Experience in managing listservs and other forms of electronic communication, e.g., Twitter, electronic surveys and calendars.

Preferred

  • Bachelor's degree.
  • Knowledge of information/database management and media.
  • Experience in a values-based, Christian institution and familiarity with graduate education in psychology as well as the profession of psychology.
  • Experience in database management, editorial skills, web design, "self-starter" / innovator. 
  • Demonstrated ability to work collaboratively and effectively with individuals from diverse backgrounds and perspectives.

This is a Regular, Nonexempt, 40 hour per week position based at the West LA Graduate Campus. 

Expected Pay Range: $21.32 - $23.69 per hour

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
