The opportunity
We are seeking a proactive and organised Administration Coordinator to support our Energy, Supply and AMG Executive team. In this pivotal role, you’ll facilitate smooth operations and efficient communication across key departments, helping to drive our ongoing success. The Administration Coordinator will report directly to our Chief of Energy.
Your primary responsibilities:
- Facilitate the monthly reporting for the Energy Executive team
- Coordinate seamless team meetings, calendar invites, and booking meeting rooms.
- Serve as a central communication hub for the Energy team and Power Operations team, reporting operational stats to the Accounts team for monthly reconciliation.
- Collaborating with Engineering and Projects team for mobilisations of inspectors and flight bookings.
- Provide dedicated administrative support to the Chief of Energy.
- Perform various general administration functions and specific tasks as assigned
This role extends to supporting operations for our MinRes Explorer Sites
- Booking travel and logistics, managing rosters and any changes that come up on a day-to-day basis. (Interstate crew flights and accommodation bookings, crew change details, crew change bus charter bookings and ad-hoc site travel).
- Liaise with subcontractors to arrange travel and accommodation requirements. Manage the Site Access process for all employees, contractors, and clients, ensuring full adherence to the mobilisation process.
- Manage payroll tasks such as generating and submitting timesheets and employee leave requests.
- Managing team SharePoint
- Coordinate purchase requisitions and invoice receipting.
- Data Management of personnel employment conditions within Success Factors for our Rig Manager
- Coordinate with various internal and external stakeholders, including operations, HR, payroll, safety, training, mobilisations and subcontractors to ensure seamless communication and operational efficiency.
What is required
- Highly experienced with business administration or flights and mobilisation.
- Demonstrated ability to work safely and as a collaborative team member
- Excellent attention to detail and ability to deliver results while working on multiple tasks with tight timeframes.
- Knowledge of, or ability to obtain, systems skills – such as Power BI, Smartsheet’s, INX, coupa and SAMs
- Ability to develop and implement logistical and administrative management processes in collaboration with the team.
- Current drivers licence
