Exciting opportunities exist to work as an Administration Assistant/Front Desk Receptionist at Brisbane Airport.
ISS is seeking a full-time administrator to work Monday to Friday to provide administration support to our management team at the airport, as well as our client.
The successful candidate will also manage the Front Desk function, which facilitates a range of terminal management activities. As the first point of contact for internal and external stakeholders, the Receptionist/Administrator is responsible for establishing and maintaining a client-focused and efficient service.
The successful candidate will need to demonstrate prior experience of managing multiple priorities and an ability to work to a deadline in a dynamic and diverse team. In addition, IT skills of a high level to fulfil admin tasks in Sharepoint and the full Microsoft suite, including proficiency with Excel and Powerpoint as well as other IT platforms.
The role will require positive communication skills, high level of verbal and numerical literacy and a “can do” attitude to manage competing tasks.
Key Responsibilities:
- Answer incoming calls promptly and professionally and where required, direct calls to the most appropriate person.
- Maintain a high standard of presentation and cleanliness of the front office and reception area.
- Coordinate the issue and return of keys and visitor passes, in accordance with company safety and security protocols.
- Maintain and manage sensitive documentation, compliance records, and audit reports
- Coordinate meetings, training sessions, and briefings
- Provide general administrative and clerical assistance to Terminal Operations and Airside Operations staff as required.
- Support audit preparation and compliance tracking
- Manage office supplies such as stationery, catering and other relevant items.
- Effectively manage stakeholder relationships, including internal customers, Brisbane Airport staff; liaising, influencing and collaborating to obtain information as needed
- Manage procurement requests and inventory of security equipment
- Assist with incident reporting and follow-up actions
- Provide general administrative support to managers and operational teams such as ISS Duty Managers, Aviation Protection Officers, and Support Teams
- Work with our client to provide Visitor Identification Card (VIC) Passes

What we need from you:
- Strong Microsoft Office skills and excellent written/verbal communication
- Proven ability to multitask, prioritise, and meet deadlines
- Clear criminal history in order to obtain an ASIC card
- High attention to detail and a commitment to confidentiality
- 2-3 year's experience in a similar position as an Administrator/Receptionist
- Professional presentation with impeccable grooming standards
- Strong interpersonal skills and able to build and maintain relationships across all levels of the organisation
- Ability to work across a 24/7 operation on a rotating roster
- Certificate III in Business Administration (or equivalent) is highly desirable
