We are seeking a highly motivated and detail-oriented Administration Assistant to join the ISS operations team at our client site in the Sydney metro area, on a Full Time basis. This role is essential in supporting operational delivery, ensuring reliable and consistent service, and maintaining compliance with our Quality Management Plan, while upholding our core values of Honesty, Entrepreneurship, Responsibility, Quality, and Unity.
🔑 Key Responsibilities
Operations Support:
- Provide general administrative support to site management and operations teams
Safety, Health & Environment (HSE):
- Enter, maintain, and report on HSEQ (Safety) data, including hazards, incidents, and actions
Accounts and Purchasing:
- Process accounts payable, including invoice matching, coding, and follow‑up
- Raise and manage purchase orders in line with company procedures
Roster Coordination:
- Assist with roster administration, including updates, leave entries, and coverage changes
Administration & Reporting:
- Administer online learning and training, including enrolments and compliance tracking
- Maintain accurate records across operational systems (safety, workforce, finance)
- Support onboarding and offboarding administration
- Prepare basic reports and assist with audits and inspections
- Liaise with internal teams (Finance, HR, HSEQ) and external suppliers as required
👤 About You
Essential Skills & Experience:
- Minimum 2 years’ experience in a similar operational environment
- Strong IT skills in MS Office (Outlook, Excel, Word)
- Experience with SharePoint, OneDrive, and document management systems
- Excellent attention to detail and ability to multitask under pressure
- Strong interpersonal, verbal, and written communication skills
- Proven ability to prioritise workloads and meet deadlines
- Customer-focused with a solutions-oriented mindset
- Confident, respectful communicator with strong problem-solving skills
Desirable:
- Previous experience in a customer service environment
