We’re on the lookout for a self-motivated and resourceful Administrative Assistant to provide administrative and operational assistance to the Contract Administration team, focusing on the day-to-day management of the FM Clean system. The role ensures accurate data entry, timely reporting, and compliance with contractual obligations and key performance indicators. 

This role is a Fixed term contract role for 12 months, based in our ISS office in Milperra 5 days per week,

The position requires a highly organized, detail-oriented individual who can manage multiple priorities while delivering exceptional service to internal and external stakeholders.

Key Accountabilities:

  1. Manage reactive cleaning workflows by ensuring work orders are assigned,accepted, and effectively communicated to the operations team for timely completion.
  2. Administer site-based periodic cleaning schedules, maintaining accuracy across monthly, quarterly, and annual service requirements.
  3. Oversee proactive cleaning programs, including carpet cleaning, ensuring schedules are up to date, and services are completed and invoiced accurately.
  4. Distribute daily customer complaint reports and provide ad hoc reports and notifications as require
  5. Manage and respond to help desk emails, triaging requests and allocating tasks to the operations team to support timely resolution
  6. Track key performance indicators (KPIs) using spreadsheets, ensuring accurate reporting and clear communication of performance outcomes to the operations team
  7. Maintain tracking of monthly meetings through spreadsheets, ensuring accurate records and providing clear updates to the operations team.
  8. Assist the Contract Administration team with the setup and closure of sites in Navision, Kronos, and Chris21.
  9. Support the team with updates and maintenance of Navision jobs and tasks to ensure accurate reconciliation with FMClean billing reports.
  10. Assist with the preparation and distribution of regular and ad hoc cleaning invoices, including monthly invoicing for agencies and TAFE via the Ariba portal.
  11. Respond to customer invoice queries in a timely and professional manner, ensuring issues are resolved efficiently.
Essential:
• Min 3 years’ administrative experience
• Previous customer service experience & System administration and Recordkeeping skills
