Role purpose

Act as trusted advisor to Singapore Country Managing Partner (CMP) and JAO Chief of Staff (CoS) to drive implementation of Firm strategy in Singapore; work closely with the Functions to ensure delivery of exceptional service to internal and external clients; work closely with the other GMs in the region on all operational matters affecting the Singapore office to be consistent with Global Firm standards, objectives and processes.

 

Main responsibilities

  • Advise and support CMP, CoS and other JAO Function Heads to implement Firm strategies, processes, policies, guidelines and reporting to ensure efficient, high quality service in the office
  • Work closely with CMP, CoS, CFO, all Singapore partners and stakeholders to develop the office business plan and ensure effective implementation of JAO and Firm strategy in the office; lead with relevant function leaders office business planning and budgeting
  • Communicate regularly with CoS, CFO and CMP, partners, Practice Group and local Function Heads to support implementation of business plans; ensure Function Heads understand local business priorities and that functional service delivery meets the needs of the office, escalating any issues for resolution as appropriate
  • Work closely with CoS, CFO, function leaders and JAO PG business managers to drive operational and financial improvements by monitoring and analyzing financial and other key performance indicators, ensuring alignment with targets, and addressing PG performance and profitability issues
  • Plan and provide strategic and operational support on key office activities (partner meetings, committee meetings, etc.) and internal and external events and gatherings.
  • Provide strategic, analytical and project management support and oversee and execute key projects and initiatives in the office and, as required, across the JAO
  • Provide leadership and guidance to local BP teams, in particular Office Facilities & Management, Secretarial and Knowledge functions and ensure communication and collaboration across functions in the office, escalating issues to functional leadership as appropriate;
  • Network with peers to represent the Firm in a positive manner and communicate local market conditions and developments (competitor strategy, lateral moves, industry trends) to leadership
  • Oversee local risk and compliance issues, including relationships with and reporting to regulatory and other local authorities and management of complaints; provide input on office policies in collaboration with office function leaders where local regulations require particular treatment
  • Help to create and maintain a work environment consistent with BP principles and values, ensuring high levels of organizational effectiveness and communication and supporting PGLs to build a high-performance culture
  • Support procure-to-pay initiatives in the office; relationships with strategic partners, leasing companies, facilities managers, and suppliers as needed; and identify opportunities to improve efficiencies
  • Other duties as assigned to deliver Firm strategy and operational effectiveness to the office and across JAO

 

About the candidate

Technical skills, qualifications and experience

  • Bachelor's degree is required, preferably in business administration, finance, or related field
  • At least 10 years of relevant experience with office management and office administration skills, preferably in a law firm or professional services environment
  • Management of a cross-functional group within a global, multi-office organization and/or experience is preferred.
  • Experience in effectively leading organizational change is preferred
  • Strong business acumen, operational excellence, client service and cost management are a must; Ability to engage with key external stakeholders, brokers and vendors
  • Highly disciplined approach to executing strategies and programs to achieve Firm operational objectives
  • Well-developed and sophisticated organization, communication and interpersonal skills, with demonstrated ability to collaborate and build trust with partners and business professionals at all levels.
  • Strong ability to lead, motivate and mentor other professionals, inclusive of diligently addressing performance concerns
  • Organized, detail-oriented individual with strong project management skills and ability to balance competing priorities in a time-sensitive environment.
  • High level of discretion, diplomacy and a commitment to maintaining the highest level of confidentiality; Strong entrepreneurial skills and business focused mind set to effectively drive operations in a diverse and multi-cultural environment
  • Proven track record of strong budgeting track record and financial skills to effective management of office operational costs
