The Administrative Assistant provides high-level administrative support in a well-organized manner to the leadership team within the Division of Finance, ensuring efficient internal operations. The Administrative Assistant will also assist in managing the Finance Division’s operating budgets. This role requires attention to detail, ability to work with minimal supervision to provide high-level support of various financial processes leveraging excellent interpersonal and communication skills with a superior commitment to service, in alignment with the university’s mission and its Catholic values. This position must also uphold confidentiality, discretion and professionalism in handling sensitive financial and personnel information.

Duties and Responsibilities:

Provide high-level administrative support to finance leadership (including the VP and the AVPs), including scheduling meetings, managing calendars, and preparing correspondence.
Serve as a liaison between the Finance Division and other university departments as well as with external partners such as suppliers, other universities, etc.
Support procurement, invoice processing, and expense tracking in collaboration with appropriate finance staff.
Manage office supplies and equipment, and coordinate maintenance or replenishment as needed.
Develop, organize and maintain efficient filing systems (digital and physical) for financial records and documentation. Coordinate logistics for meetings, training sessions, and events hosted by the Finance Division.

Required Qualifications:

Associate’s Degree required.
3-5 years of administrative experience, preferably in higher education or finance.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with financial software systems is a plus.
Strong organizational, communication, and interpersonal skills.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.

Salary Range:

$27.47 - $37.77 per hour
