Position Summary
This hybrid position will lead the coordination and execution of live and virtual events, manage logistics, and ensure timely communication among planning teams, university partners, and vendors. The Project Manager will also work on additional strategic initiatives involving leadership and community engagement. The Institute's work spans multiple thematic areas, including research, dialogue, and advocacy of ethical principles in diverse fields, grounded in both contemporary and traditional ethical frameworks.
This position requires strong organizational and communication skills, attention to detail, and a proactive, collaborative spirit.
• Manage and align diverse perspectives and relationships, including deans, faculty partners, external partners and collaborators, and other MSU stakeholders while utilizing a balance of relationship management, creative problem solving and risk management to ensure project success.
• Manage and support a variety of projects focused on ethics, community engagement, and institutional transformation.
• Sends regular internal communications including event reminders, updates, newsletters, and other timely announcements and provides calendaring support to the Director as needed.
• Maintains and organizes materials for Ethics Institute task forces and subgroups, including Ubuntu, ensuring timely communication, documentation, and follow-up to support ongoing collaboration and progress.
Develops project plans and new initiatives in coordination with leadership and customers/partners to ensure alignment with strategic plans and project objectives.
Event Management
• Collaborates with planning committees to develop and deliver engaging in-person and virtual events that align with the Ethics Institute’s mission and broader university priorities.
• Manages event budgets, monitors expenses, and provides consistent updates throughout the planning period to ensure fiscal accountability.
• Coordinates with university administrators, faculty, internal team members, and external vendors to communicate event timelines and track progress toward objectives—including panelist selection, keynote invitations, and programming needs.
Event Logistics
• Researches and recommends venues, vendors, and other resources to support successful and innovative events; conducts site visits as needed.
• Participates in on-site event setup and breakdown, including food and beverage purchasing for smaller-scale events.
• Engages and negotiates with caterers and vendors to secure competitive rates and reliable service, while managing ongoing logistics; contracts and terms are submitted to the Associate Director for review and approval.
Event Execution
• Finalizes event materials such as agendas, handouts, and logistical checklists.
• Coordinates travel and lodging arrangements for keynote speakers and panelists.
• Provides day-of-event support to ensure seamless execution and high-quality participant experience.
• Conducts post-event surveys and debriefs to evaluate success and identify opportunities for improvement.

Minimum Requirements
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business Administration, Management or field related to the employing unit; three to five years of related and progressively more expansive work experience in project management, business analysis, facilitating/training with a focus on business management; workflow process analysis and implementation of strategic initiatives or an equivalent combination of education and experience.
Desired Qualifications
Event coordination and management experience highly desirable.
Knowledge about the Ethics Institute at MSU is a plus.
