Scope of Position

The Colleague Services Executive is responsible for managing operations of colleague housing, including but not limited to building management, transportation, security, housekeeping, pest control and waste management, ensuring Colleagues have a safe, comfortable and enjoyable living experience at all times.

Responsibilities

  • Assist People & Culture Manager to oversee day-to-day operations of colleague housing and services
  • Perform daily inspection of common areas of the building, making sure it meets the standards for comfort, cleanliness and safety
  • Ensure compliance with housing safety policies and Dubai municipality regulations always
  • Ensure safety inspection of the building’s fire-fighting system (fire extinguishers, fire hose cabinets, heat detectors, etc.) is performed as per schedule
  • Act as primary point of contact for colleagues residing in housing
  • Handle colleague requests, address concerns and resolve any reported issues in timely manner
  • Work closely with building’s facilities management team to ensure any repairs or improvements needed in housing, are carried out efficiently and promptly
  • Communicate any health or safety hazards to building Facility Management team and report/ update People and Culture Manager and/or coordinate with other departments as necessary, to resolve issue
  • Supervise the process of onboarding new colleagues into housing and offboarding departing colleagues, ensuring smooth transition for all
  • Conduct housing site induction of new Colleagues
  • Perform apartments’ safety and hygiene inspection on regular basis to ensure they meet quality standards and address any discrepancies or areas of improvements
  • Ensure proper documentation of housing-related such as, colleague files living in the housing (i.e. Room Inventory list, Accommodation guidelines) and inspection, maintenance records
  • Manage Housing Tracker and other reports required by the department
  • Assist with budgeting of housing expenses, including maintenance, utilities, furniture, fixtures and equipment
  • Monitor expenses, manage inventory and order as necessary; provide recommendations to maximize utilization of resources, minimizing expenses without compromising quality
  • Meet vendor or service suppliers (ie, housekeeping, engineering, etc) on regular basis and explore ways to continuously improve services
  • Assist the People & Culture Manager in preparing and/or updating/revising all housing-related policies, SOPs, forms and processes
  • Assist with all People & Culture engagement related activities and initiatives

Skills & Qualifications

  • High school diploma or equivalent
  • 2-3 years’ operational experience in hospitality industry or at least a year experience of supervisory role in a colleague services role
  • Previous experience in property management, housing administration on a similar role, preferably within a hospitality/hotel background, Middle East Region is an advantage
  • Proficient with MS Excel and PowerPoint software programs.
  • Excellent verbal and written communication skills in English.
  • Ability to understand colleague needs and with pro-active approach to maintaining high-quality living conditions
  • Strong interpersonal and communication skills, with the ability to interact effectively with colleagues, vendors and/or suppliers
  • Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize in a fast-paced environment.
  • Physical capability to perform manual lifting from time to time
  • Flexibility to work a variety of shifts, including evenings, weekends, and holidays as per business needs.
