Position Summary
The Executive Assistant & Project Officer plays a key role within the International Centre for Future Health Systems, providing high-level executive support to the Co-Directors while coordinating the Centre's operational, financial and project administration activities. Reporting to the Chief Operating Officer, the role is responsible for complex executive support, project coordination, stakeholder engagement, governance, financial administration, and supporting the successful delivery of the Centre's strategic initiatives.
The International Centre for Future Health Systems is a rapidly expanding, globally connected research centre leading research, policy and advocacy to improve health systems in Australia and internationally. Through partnerships with governments, healthcare providers, consumers, industry and research organisations, the Centre develops innovative solutions to address major health system challenges, including climate change, pandemic preparedness and population growth. As the Centre continues to expand its research portfolio and international collaborations, this role is critical to supporting its operational excellence and sustained growth.
Working closely with the Co-Directors and multidisciplinary teams, the Executive Assistant & Project Officer manages complex calendars, meetings and events, coordinates project reporting, supports annual financial and grant activity reporting, assists with budget management, maintains grant funding databases and accounting systems, and oversees finance, procurement and contract administration to ensure the efficient operation of the Centre. The role has no direct reports.
Some Key Skills Required:
- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Ability to operate autonomously while demonstrating strong initiative and a proactive approach to driving process improvement.
- High level organisational skills with proven ability to deal with multiple tasks, establish priorities and meet deadlines.
- Highly advanced interpersonal, written and oral communication skills.
- Sound stakeholder management skills, with the ability to liaise effectively with a range of stakeholders.
- Project experience, with an understanding of the project life cycle and development of project plans, objectives and documentation.
