The Project Manager – ChatGPT Edu Rollout is responsible for the successful planning, coordination and delivery of the University's ChatGPT Edu implementation. Reporting to the Program Manager, this role will lead the delivery of the technology rollout, ensuring the platform is deployed securely, efficiently and in accordance with agreed scope, schedule and quality outcomes.

Working closely with technical teams, the AI Competency Centre (AICC), OpenAI, and key business stakeholders across UNSW, the Project Manager will coordinate the activities required to enable ChatGPT Edu for eligible students and staff. The role will oversee project planning, delivery governance, technical implementation, operational readiness and transition to business-as-usual support.

The Project Manager will work collaboratively with organisational change, communications and training teams, while ensuring delivery aligns with the University's AI governance, privacy, cyber security and enterprise architecture requirements.

Accountabilities:

  • Lead the day-to-day delivery of the ChatGPT Edu rollout in accordance with the approved program plan.
  • Develop and maintain detailed project plans, schedules, milestones, dependencies and resource plans.
  • Coordinate delivery across multiple technical and business workstreams to ensure successful implementation.
  • Monitor project progress and proactively manage risks, issues, assumptions and dependencies.
  • Manage project scope, change requests and delivery priorities in collaboration with the Program Manager.
  • Ensure project deliverables are completed to agreed quality, time and budget expectations.
  • Build effective working relationships with project stakeholders across IT, the AI Competency Centre, and University divisions.
  • Coordinate project activities with technical leads, business representatives and vendor resources.
  • Facilitate project workshops, planning sessions and implementation meetings.
  • Prepare regular project status reports, dashboards and steering committee updates.
  • Escalate risks, issues and decisions to the Program Manager as appropriate.
  • Coordinate project activities to support governance approvals across privacy, cyber security, enterprise architecture and AI governance.
  • Ensure project documentation is maintained in accordance with PMO standard
  • Support audit, assurance and project reporting requirements.
  • Monitor compliance with University policies, standards and project governance processes.
  • Coordinate implementation activities with change and communication plans.
  • Support rollout scheduling across stakeholder groups.
  • Ensure training activities are aligned with deployment milestones.
  • Monitor implementation readiness and resolve delivery issues impacting rollout.
  • Support adoption monitoring during implementation and early operational phases
  • Align with and actively demonstrate the UNSW Values in Action: Our Behaviours and the UNSW Code of Conduct.
  • Ensure hazards and risks psychosocial and physical are identified and controlled for tasks, projects, and activities that pose a health and safety risk within your area of responsibility.

Who you are:

  • Tertiary qualifications and/or significant demonstrated experience delivering large enterprise technology implementation projects.
  • Proven experience managing end-to-end application or SaaS platform deployments.
  • Strong project planning, scheduling and delivery management skills.
  • Experience coordinating multidisciplinary project teams and technical specialists.
  • Demonstrated ability to manage project risks, issues, dependencies and delivery timelines
  • Experience working within structured project governance frameworks
  • Excellent stakeholder engagement and communication skills and the ability to adapt in a diverse environment and range of competing stakeholders.
  • Strong organisational and coordination skills with attention to detail.
  • Experience preparing project reporting for governance forums and senior stakeholders.
  • Experience delivering AI or digital workplace initiatives.
  • Experience within higher education or other large, complex organisations.
  • Exceptional communication and facilitation skills.
  • Advanced industry certifications including Prince2 and/or PMBOK or equivalent, is desirable.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
