Why Your Role Matters
The Executive Assistant plays a critical role within the Marketing & Digital Experience (M&DX) team, providing high-level executive support to the Executive Director in a busy, fast-paced and complex environment.
This is a hands-on role for an experienced Executive Assistant who can bring structure, clarity and momentum to a demanding executive portfolio. You will take ownership of the Executive Director’s calendar and inbox, prioritise competing demands, ensure urgent matters are addressed, and keep the Executive Director prepared and on track.
The role requires someone who is proactive, resilient, highly organised and comfortable diplomatically pushing back when priorities need to be clarified.
The Executive Assistant reports to the Marketing Executive Officer but primarily supports the M&DX Executive Director, with broader support to the M&DX Leadership Team as required. The role has no direct reports.
This role is approved until May 2028 as an employee replacement.
Key responsibilities include:
- Proactively manage the Executive Director’s calendar, inbox, meetings, priorities and follow-up actions.
- Anticipate information and operational needs and ensure the Executive Director is well prepared for meetings and key commitments.
- Act as a trusted first point of contact for internal and external stakeholders, resolving matters where appropriate and escalating sensitive, urgent or complex issues.
- Coordinate confidential meetings, agendas, papers, minutes, action registers, travel and accommodation arrangements.
- Manage executive correspondence, documents, financial requirements and confidential information.
- Maintain accurate filing systems, databases, contact lists, group email lists and other administrative systems.
- Support the M&DX Hub SharePoint site and contribute to projects, events and business improvement activities.
- Provide administrative and coordination support to other members of the M&DX Leadership Team as required.

- Demonstrated experience managing a senior executive’s calendar and inbox, prioritising competing demands and ensuring actions are followed through
- Experience preparing executives for meetings, coordinating agendas and papers, arranging travel and accommodation, taking minutes and managing confidential information
- Excellent written and verbal communication skills, with a high level of accuracy and attention to detail
- Strong judgement, discretion and resilience when managing sensitive matters, changing priorities and time-critical requests
- Excellent interpersonal skills and the ability to communicate confidently with staff at all levels and external stakeholders
- Strong organisational and time management skills, with the ability to work autonomously and proactively identify improvements
- Advanced computer literacy, including experience with Microsoft Office, Microsoft Teams and other relevant administrative, financial and travel systems
