Basic Function:

Coordinates, oversees, and functions as a lead worker over receptionist staff and activities for a work unit or area; serves as initial contact for students, faculty, professional staff, administrators, and visitors in person and by telephone; provides general and specialized information regarding the department and/or Kent State University. Reports to designated administrative supervisor.

Examples of Duties:

Duties/essential functions may include, but not be limited to, the following: 

Functions as a lead worker over Receptionists and/or a large number of student employees on a continual basis.

- Trains and instructs employees on proper work procedures and policies; may develop and/or modify training program for new employees.

- Assigns and monitors work activities.

- Coordinates work flow and schedule to ensure deadlines are met, priorities are recognized, and policies/procedures are followed.

- May participate in the interviewing and selection of job applicants and the performance evaluation of assigned employees; may recommend personnel actions (e.g., hiring, termination, promotion, discipline, layoff/recall).

May develop and implement office policies and procedures in work unit.

Answers, screens, and routes incoming telephone calls from multiple lines, takes messages, may send messages through electronic mail, places and logs long distance calls.

Greets and screens students, faculty, professional staff, administrators, and visitors, directs to appropriate location or person; may distribute, explain, and/or collect forms, pamphlets, or other informational documents.

Provides general and specialized information to students, faculty, professional staff, administrators, visitors, or callers regarding policy and procedures of University or department, campus locations, University events, class times and cancellations, telephone numbers, etc.; refers questions requiring more knowledge or data to appropriate person.

Sorts and distributes incoming mail for department; prepares bulk mailings.

May type basic items such as memos, schedules, telephone listings, envelopes, labels, data cards and occasional letters or reports from draft using typewriter or word processor. May perform other clerical duties such as filing, producing photocopies, sending and receiving facsimiles, and arranging for repairs.

Maintains various logs (e.g., parcels, visitors, keys, etc.), calendar of events, and/or appointment book.

Performs related duties as required.

Minimum Qualifications:

High school diploma or equivalent. A minimum of six months' experience as receptionist.

License/Certification:

 

Knowledge Of:

Office practices and procedures
Standard procedures for alphanumeric filing

Skill In:

Interpersonal communication to effectively interact with University personnel and public in person and over the telephone (e.g., to greet visitors and answer routine questions)

Typing (i.e., 35 net words per minute) if required by position

Ability To:

Train and provide effective work direction to other employees
Manage time effectively and set priorities
Operate telephone console
Handle in person and telephone requests simultaneously
Apply policies and procedures
Carry out or assist in implementing changes
Read, write, and accurately follow oral and written instructions
Classify information according to established methods
Operate various office equipment (e.g., calculator, copier machine, facsimile machine, etc.)
Maintain accurate records
Operate a computer for word processing and/or data entry/retrieval, if required by position
