Department

Cal State Fullerton (CSUF) University Extension within the Division of Academic Affairs collaborates with university departments and colleges on unique programs for students from the community and around the world. We are seeking an exceptional individual to join our University Extension Leadership Office as the Administrative Support Coordinator II. The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to inclusivity, openness, flexibility, integrity, and kindness.

Duties and Responsibilities

The Administrative Support Coordinator II provides operational and administrative support for University Extension (UE), with a balanced focus on program support, academic operations, stakeholder engagement, and office administration. The role supports program delivery by maintaining and communicating accurate and up-to-date program content, assisting with course scheduling and enrollment tracking, and compiling data for reporting and analysis. It plays a key role in UE academic operations by coordinating grading processes, ensuring the accuracy and integrity of student records, coordinating grade-related workflows, and issuing certificates. Additionally, the position fosters internal and external relationships through research, outreach, and event participation, while representing the organization in both campus and community settings. Administrative responsibilities include front office support, executive and team member administrative support, facilities and IT-related duties, and ensuring smooth day-to-day operations. Overall, the role contributes to the effective delivery, quality assurance, and continuous improvement of University Extension programs and services. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and three years of experience in general office, clerical or administrative support  work or the equivalent. Training at a vocational school or full-time college education may be substituted for the required experience on a year for year basis. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Comprehensive knowledge of the CSUF infrastructure is preferred. Two to three years’ experience with customer/student service. Experience with CRM software such as Salesforce.

License/Certifications

A valid California driver’s license and independent means of transportation.
