Department |
Capital Programs and Facilities Management (CPFM) within the Division of Administration and Finance is committed to planning, developing, and maintaining a safe, sustainable, and high-quality learning and working environment for the campus community. Facilities Management provides oversight of university resources and assets and is responsible for the development of the University’s facilities including land use planning, capital improvement, project development, construction, as well as facilities operations and maintenance including custodial services, landscape services, building trade services, mechanical and electrical, and recycling services. We seek an exceptional individual to join our team as the Associate Vice President’s Office Administrative Analyst (Administrative Analyst/Specialist - Exempt I). Duties and Responsibilities |
Under the general direction of the Associate Vice President for Capital Programs and Facilities Management (CPFM), or their designee, the Administrative Analyst provides executive-level support to the Associate Vice President (AVP). Proactively and independently performs a wide range of high-level administrative, analytical, and technical responsibilities to support the effective operations of the AVP's office and department operations. Oversees all aspects of the AVP's calendar and travel while staying current with the AVP's priorities. Provides research and develops reports for the AVP to keep them current in department operations and prepare them for various meetings. Works closely with the department directors and leadership to obtain information; develops reports, documents, and briefings; and arranges meetings. Serves as a project coordinator and liaison with the President's Office for maintenance and construction projects at El Dorado Ranch. Primary emphasis on complex scheduling, preparing briefing materials and agendas, and arranging travel and logistics. The Administrative Analyst will also be responsible for developing organization systems; writing and editing correspondence; developing agendas, reports, and presentation materials that require confidentiality, discretion, sound judgment, writing ability, and decision-making skills. Coordinates and provides administrative support to regular department meetings and events. The Administrative Analyst should be able to anticipate the needs of the AVP and department while being proactive in their work. Must have excellent communication and is diplomatic in their responses and interactions. Ability to develop and maintain positive working relationships with individuals within and outside of the CPFM department. Ability to identify, issue, and take the steps necessary to resolve the issue without direction or guidance. Must have excellent customer service skills, an interest in lifelong learning, and an ability to set and exceed goals. Essential Qualifications |
Bachelor’s degree from an accredited four-year college or university and/or the equivalent training and administrative work experience involving the study, analysis, evaluation, development or improvement of administrative policies, procedures, practices, or programs plus two years of related experience. Working knowledge of and the ability to apply standard theories, principles, practices, techniques applicable to the program or administrative specialty to develop conclusions and make recommendations. Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program or administrative specialty. Working knowledge of operational and fiscal analysis and techniques. Ability to take initiative and plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved. Skilled in research, development, and evaluation of policies and programs. Ability to collect, evaluate, and interpret data to develop sound conclusions and make appropriate recommendations. Expertise investigating and analyzing problems with broad administrative impact and implications. Ability to anticipate problems and address them proactively. Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form. Ability to train others on new skills and procedures and provide lead work direction. A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Preferred Qualifications |
Prior work experience working in higher education. Prior experience directly supporting an executive level administrator. Knowledge of CSU policies, procedures, and structure. |
