(Job #545697) Administrative Analyst/Specialist II, Housing Systems Operations Coordinator, Salary Range: $5,537 - $10,014 monthly. Hiring Range: $5,537 - $5,814 monthly. This is a full-time, benefited, exempt, 12-month pay plan permanent position with a one-year probationary period in the Housing & Residence Life Department. Position Summary:
Responsible for the oversight and administrative functions of Housing Business Operations conducted through Housing Occupancy Software (StarRez). Analysis and reporting of housing statistics. Assist in providing technical support for software and website systems in the department of Housing.
Key Responsibilities:
Student Housing Portal - Manage, update and improve housing application process – 40%
- Includes the online Housing Application and License Agreement process that every resident that lives on-campus must complete for each academic year (in excess of 2700 applications annually). Includes 3 different application process (Academic Year, Spring and Summer), and over 50 distinctive pages of application processes that must be created, edited and maintained.
- Collaborate with other departments and staff members to edit and update application to fulfill the needs of Place Base Learning Communities, etc...
- Track and oversee completion of the online application process; seek resolution for all problem applications and audit enrollment and admissions information for all residents and applicants.
- Work on improving and updating the portal by creating efficiencies, adding content and adding images, emojis, links, etc.
- Create rules and coding using SQL (preferred)
Student Housing Portal - Manage, update and improve housing forms – 20%
- Create, collaborate, maintain and update electronic forms that are submitted by students through Portal X, including but not limited to the following online forms: Vacate, Rental Release, Housing Exemptions, Late Stay Request, Damage Appeal and Housing Appeal.
- Collaborate with Housing department staff members to create efficiencies and ways for Housing to receive information from students.
- Create rules and coding using SQL (preferred)
- Create and analyze reports from StarRez.
Input, audit and monitor all Housing Charges – 15%
- Enter and test all Housing fees and on-campus meal plan fees in StarRez that feed over to Peoplesoft daily.
- Upload and reconcile Housing and Meal Plan charges for about $10,000,000+ each semester.
- Daily reconciliation of all Housing transactions, including auditing reversals of charges.
- Monthly Reconciliation of all Housing and Meal Plan fee discrepancies for Student Financial Services
Website & Social Media Role – 15%
- Create and maintain Housing & Residence Life section of the Cal Poly Humboldt website.
- Manage digital LCD signage in Housing – Adding and removing fliers as needed.
- Compose and send emails to all residents on behalf of Housing & Residence Life and Dining Services.
- Responsible for creating and responding to content on Social Media, for example Instagram, Facebook, TikTok and Reddit.
- Create and Maintain Housing & Residence Life section of the Cal Poly Humboldt Mobile App, including multiple distinctive pages of the Cal Poly Humboldt Mobile App.
Supports departmental needs and major Housing events – 5%
Other Duties as assigned – 5%

Minimum Qualifications:
- Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.
This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications:
- Bachelor's degree in computer science or a related field.
- Knowledge of operating systems, programming, and design restrictions. Experience with StarRez, Peoplesoft and Drupal (website) preferred.
- Ability to problem solve and work effectively under time pressure
