Job Summary

This position will be supervised by the Department Specialist. The English Department Assistant provides administrative assistance to the 100-department faculty, the Department Specialist, Department Coordinator and the Department Chair in the execution of duties necessary to the operation of all their academic programs.  Assist the Department Specialist in a department office of approximately 21 tenured/tenure-track faculty, 4 FERP, 76 lecturers, and 9 teaching assistants; supports  and serves as one of the three resources for information regarding Department policy and practice for faculty, students, and staff providing assistance inputting information reproducing forms and reports, assisting graduate advisors distributing mail, email, serves as webmaster, tracks and orders supplies, with ftes of 1,110.65  with five BAs (690), four minors (31), a certificate in Professional Writing (13) and an MFA and an MA (115).

Key Responsibilities

  • Receives visitors, telephone calls and emails, as the primary of three individuals that serves as first point-of-contact for the English Department.  Provides information as appropriate directs inquires.  Maintains appearance of offices and all posted materials:
  • Assists Dept. Specialist and Coordinator by inputting and reproducing instructional materials, correspondence, minutes, reports and forms.  Tracks the disposition of correspondence and forms for expenditures, hiring, and student information.  Provides support to faculty in the Department:
  • Assists two Master's program advisors. Create and maintain graduate student files - electronically.
  • Serves as department mail clerk, webmaster, and photocopier supplies:

Knowledge Skills and Abilities

Ability to establish and maintain good working relationships with a variety of people--faculty, staff, students, and vendors. Working knowledge of office methods, procedures, and practices relating to an academic environment. Ability to perform and concentrate in noisy environment that involves independent judgment, accuracy, and speed. Working knowledge of Windows, Word, Drupal, Adobe Acrobat Pro, email, spreadsheet, databases, Ad Astra, and CMS for PC. Develop and deliver essential information through written and oral interactions.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

  • Equivalent to three years of administrative support experience required.
  • Bachelor's degree preferred

Physical Summary

Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,680 - $5,417 per month.

Time Base

1.0  time-base, 40 hours per week.

Duration of Appointment
