Administrative Support Coordinator I

*** Part-Time Position - 20 hours per week ***

RESPONSIBILITIES & DUTIES: 

The incumbent serves as the first point of contact for all Transportation and Parking and Police Department issues; personally interacts with members of the campus community and general public who visit the Police Department, and provides assistance in a variety of situations requiring active problem solving skills; sells and processes parking permits and guest campus permits; reconciles daily accounting documentation to ensure that all cash handling policies and procedures are being upheld; provides support and makes recommendations for parking enforcement and office procedures; ensures that communications are made in accordance with the State Administrative Manual, campus policies, Education and Vehicle Codes, and California Code of Regulations; prepares monthly and annual reports of shuttle card sales, complimentary permits issued, and permits sold; coordinates the shuttle card issuance systems for the Ventura County Transportation Commission (VCTC); works independently, and in conjunction with the Police Lieutenant in assisting with alternative transportation programs; participates in Public Safety presentations on campus, assists in collecting data and updating information; schedules and performs Live Scan fingerprint submissions; coordinates administrative hearings and serves as primary contact for PMB (Parking Management Bureau) to facilitate second level parking citation appeal process; responsible for intake, documentation, processing and retrieval of campus lost and found; participates in departmental events and programs; serves as departmental representative on committees as assigned; completes other duties as assigned by the Police Lieutenant or Chief of Police.

REQUIREMENTS OF POSITION: 

A bachelor's degree is preferred and prior experience in customer service is desired, or any equivalent combination of education and experience that provides the desired knowledge and abilities; experience and/or education that demonstrates professional judgment, initiative, leadership, creativity, flexibility, and problem solving skills; demonstrated outstanding customer service and communication skills; the ability to analyze data; the ability to develop and maintain professional interaction and working relationships with all members of the campus community, administration and staff as well as community members; good organizational skills, with the ability to meet deadlines, work under pressure, perform multiple tasks with competing deadlines concurrently, and work effectively both independently and as a member of the team. The successful incumbent will have a comprehensive knowledge of record keeping methods, cash handling procedures and practices; ability to maintain accounting records for funds and activities and read and interpret computer-generated reports; a high-level proficiency with computers; advanced skill level in Microsoft Word and Excel is essential; a working knowledge of database development, the ability to rapidly learn and apply new and revised procedures, and research and recommend procedural improvements is required. The ability to travel occasionally within the state may be required.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.  Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.  

The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

Hiring Range: $1,932 - $2,192 per month

Hours - 10:00 am - 2:00 pm, Monday - Friday
