The CSU Chancellor's Office, located on the waterfront adjacent to the Aquarium of the Pacific in downtown Long Beach, is the headquarters for the nation's largest and most diverse system of higher education. Salary

The anticipated salary hiring range is up to $58,440 per year, commensurate with qualifications and experience.

Position Information

The California State University, Office of the Chancellor, is seeking an Administrative Coordinator to provide operational administrative support for the Chancellor's Office Labor Relations team, to include working with existing LR staff to develop and maintain electronic and hardcopy filing systems; assisting in the preparation of documentation for use in arbitration and/or PERB process, assisting in administrative duties pertaining to the department grievance database and document repository software.

This position is approved for telecommuting (two days telecommuting, three days in office (in-person)) with onsite work at the main headquarters located in Long Beach, California.

Responsibilities

Under the general direction of the Senior Director of Labor and Employee Relations, the Administrative Coordinator will:

-Processes all emails sent to the LR email box.

-Prepares, types and sends a variety of correspondence and documents.

-Compiles information for preparation of same; assures proper format, accuracy and completeness of final copy.

-Creates and maintains hard copy and electronic files for grievances/arbitrations and maintains archives; maintains grievance/arbitration electronic filing systems, database and log.

-Creates hard copy files for PERB matters.

-Maintains arbitration SharePoint site.

-Prepares and maintains records of documents sent to offsite storage.

-Opens, sorts, and distributes mail.

-Coordinates department travel, maintains travel calendar and travel reimbursements.

-Processes and tracks union Release Time requests and maintains release time logs.

-Maintains records of office attendance and calendars time off requests; assists entire office with phone coverage; department copying, filing, and assists with other duties as assigned.

Qualifications

This position requires:

-A minimum of 3 years responsible clerical experience.

-Thorough knowledge of office procedures and practices.

-General knowledge of the functions and structure of an office environment.

-Excellent written and verbal skills.

-Ability to work in a complex environment with multiple priorities.

-Ability to coordinate multiple tasks simultaneously and independently set priorities when there are conflicts.

-Excellent organizational skills.

-Ability to establish and maintain efficiently organized department files and reference materials.

-Excellent people skills and customer service orientation.

-Ability to learn, independently interpret and apply a wide variety of complex policies and procedures.

-Ability to independently identify appropriate applications of a wide variety of complex written policies and procedures in circumstances for which guidelines do not exist or for which guidelines conflict.

-Experience using Word and Excel.

Preferred Qualifications

-General experience in Labor Relations or Human Resources preferred.

-Experience working within the California State University system preferred.

-Experience using SmartSheet preferred.
