Job Summary
Under general direction and reporting to the Leave and Workers’ Compensation Program Manager, this position serves as the primary point of contact for staff, faculty, management and third-party claims administrators for all matters related to leave of absence programs, workers' compensation, return-to-work coordination, and ergonomics. This position ensures compliance with applicable federal and state laws, CSU and campus policies, and collective bargaining agreements. Responsibilities include processing leave and injury-related cases from intake through resolution, case management, data tracking, analysis, effective communication and coordination, all while maintaining confidentiality and a high level of customer service. This position recommends process improvements to enhance efficiency, compliance, and customer service.
Key Responsibilities
- Manage the intake and processing of workers’ compensation claims.
- Act as liaison between CSU’s third-party administrator, injured employees, and treating physicians.
- Coordinate Industrial Disability Leave (IDL), Temporary Disability (TD), and applicable leave benefits.
- Ensure timely reporting of injury claims, track claim status, and maintain OSHA logs.
- Collaborate with departments to monitor work status and restrictions.
- Serve as the primary point of contact for leave of absence inquiries and requests.
- Review and process leave requests in compliance with FMLA, CFRA, PDL, CSU policies, and Collective Bargaining Agreements.
- Track leave usage and balances; maintain HRIS and leave tracking databases.
- Coordinate with Benefits, Payroll, Employee Relations, and department administrators.
- Notify employees and appropriate administrators of leave eligibility, approval status, and next steps.
- Support employees and departments throughout the leave lifecycle, including coordination of intermittent leave and assessment of potential accommodation needs.
- Oversee the Return-to-Work program for employees recovering from work-related injuries.
- Review medical documentation and facilitate the interactive process as needed.
- Work with managers to identify modified or transitional duty assignments.
- Work with various campus constituents regarding Return-to-Work issues.
- Conduct ergonomic evaluations for campus employees, both proactively and in response to intake reports.
- Develop and maintain individualized ergonomic reports and recommendations.
- Train employees and departments in proper ergonomic set-up and best practices.
- Assist departments in sourcing appropriate equipment and adjustments.
- Track ergonomic data and trends.
Knowledge, Skills & Abilities
- Ability to interpret and apply university policies, collective bargaining agreements, and federal/state laws (including FMLA, CFRA, PDL, PWFA, ADA, FEHA, and California Workers’ Compensation) with sound judgment and discretion
- Strong written and verbal communication skills with the ability to communicate effectively with faculty, staff, and administrators
- Demonstrated ability to work independently, set priorities, and manage multiple responsibilities with accuracy and attention to detail
- Knowledge of or ability to learn CSU-specific policies and procedures, including those related to leave administration, workers’ compensation, and return-to-work programs
- Ability to maintain confidentiality and handle sensitive information
- Ability to communicate with constituents in a professional and respectful manner
- Proficiency in HRIS, Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Google Workspace (Docs, Sheets, Drive), and leave/case tracking systems
- Strong interpersonal skills with the ability to build and maintain effective working relationships at all levels of the organization and with external partners
- Knowledge of ergonomic evaluation practices or ability to learn, including conducting assessments and recommending equipment or adjustments
- Strong analytical and investigative skills with the ability to assess complex issues and propose solutions
- Ability to draft professional correspondence, reports, training materials, and procedural documents
- Ability to organize and facilitate meetings, including those involving sensitive topics such as medical restrictions or return-to-work planning
Required Qualifications
- Bachelor’s degree or professional training program specific to the position and directly related work experience, or a combination of education and experience which demonstrates the ability to perform the essential functions of the position
- Two years of administrative work experience
Preferred Qualifications
- Certifications: PHR, SHRM, CEES (Certified Ergonomic Evaluation Specialist) or willingness to obtain
- Two years of human resources administrative experience
- Experience conducting or supporting ergonomic assessments

Anticipated Hiring Range: $7,083/month - $/7,660month
CSU Salary Range: $4,687/month - $11,223/month
